Full Job Description

Pillar College

Pillar College educates, inspires, and equips students for excellent scholarship, service, and leadership. Rooted in and committed to Christian faith and love, Pillar fosters intellectual, spiritual and social development among its diverse student population and various instructional sites throughout the world.

The Office Coordinator of the Registrar’s Office is chiefly to manage the administrative operations of the Office and provide administrative support to the Registrar, including maintenance of academic records of new students and coordinating office procedures and activities.

Summary
The Registrar is responsible for the accurate maintenance, auditing, and processing of student academic records, degree completion data, and registration compliance. As a core member of the registrar team, this role upholds institutional integrity, federal compliance, and adherence to academic policy.

Aligned with the Student Success Center (SSC) model, the Registrar supports Student Success Coaches (Registrar Track) by managing technical workflows, approvals, and recordkeeping processes. While this role is not student-facing, it ensures front-line staff have reliable data, clear processes, and timely resolutions of academic matters. The Registrar plays a central role in Pillar College’s commitment to academic excellence, FERPA compliance, and institutional effectiveness.

Key Responsibilities

Student Academic Progress

Maintain, audit, and secure student academic records (grades, transcripts, degree progress audits) with precision, ensuring compliance with institutional and accreditor standards.
Oversee graduation clearance, including degree audits, graduation applications, exception handling, and final transcript certification.
Evaluate and articulate transfer credits according to accreditation requirements and institutional policy.
Develop academic course schedules in collaboration with department chairs and leadership.
Ensure accurate representation of academic programs on the website and in marketing materials.

Academic Policy Compliance and Reporting

Process term registration files, configure academic calendars, and manage course scheduling infrastructure in the Student Information System (SIS).
Ensure compliance with FERPA, Title IV, state regulations, and institutional policies.
Update and maintain the academic catalog within the SIS, including course descriptions, credit hour designations, and policy updates.

Records Management

Monitor and process academic standing updates, including GPA thresholds, probation, and suspension notifications.
Maintain accurate records for probationary students and ensure proper communication of available support resources.
Manage recognition lists, including Dean’s and President’s honors lists.

Collaboration and Support

Collaborate with Institutional Effectiveness, Finance, and Academic Affairs for internal and external reporting (IPEDS, NJ OSHE, MSCHE, National Student Clearinghouse).
Partner with the SSC to resolve escalated registration and records issues.
Collaborate with Financial Aid to align academic and financial aid policies.
Serve as registrar liaison for cross-functional working groups and compliance committees.
Recommend policy clarifications and process improvements.
Provide guidance to faculty and staff regarding academic policies and procedures.

Qualifications

Experience

Minimum 3 years of experience in a registrar’s office or academic records management.
Strong knowledge of FERPA and registrar compliance requirements.
Experience with Student Information Systems (e.g., Populi, Anthology).
High attention to detail with strong documentation and process management skills.

Education

Bachelor’s degree required.
Master’s degree in a related field preferred.
