Job Overview
Are you a flexible, detail-oriented administrative, tech or finance professional open to a multifaceted leadership role at a small, dynamic investment management firm where no two days are the same?

In this unique position, you will take on significant responsibilities in executive & team support, office management, marketing & investor relations, trading & fund operations, and regulatory compliance. Support to the CEO and team will include management, business development, arranging meeting & conference travel, trading, finance & accounting, recruiting, HR, legal, R&D and IT. You’ll spearhead marketing initiatives from outreach campaigns and design of written materials to travel support and maintaining a database of contacts. You’ll use proprietary software to generate reports on trading activity, update key spreadsheets, and liaise with clients, vendors, and service providers. You’ll also make regulatory filings, update company policies and procedures, and ensure those policies are followed. You’ll manage the office, be on top of multiple calendars and email inboxes, and conduct varied internet research.

Your strong communication skills, clear writing, research proficiency, and ability to manage numbers and spreadsheets will contribute to the success of the team in a wide variety of areas. You’ll take initiative where needed, ask questions, manage multiple priorities, help coordinate, and quickly pick up new skills and concepts. The successful candidate will be expected to study for and pass the National Futures Association Series 3 Exam.

Requirements: A Bachelor’s (GPA 3.5+) and 8+ years of relevant work experience in administration, finance or tech. Willingness/ability to study for and pass the National Futures Association Series 3 Exam.

Responsibilities

Provide executive / personal assistance to senior management.
Internet and other research to advance business objectives and needs
Inventory and order office supplies; coordinate office maintenance, office services, and building security issues
Spearhead business development initiatives from planning investor outreach campaigns to supporting marketing trips and conference attendance.
Implement and manage CRM (Customer Relationship Management) software to track investor interactions, update contact information, and run reports.
Update or create flyers, PowerPoint presentations, and monthly performance reports to promote the firm and its investment products.
After passing Series 3 Exam, present investment strategy to investors in meetings or at industry conferences.
Perform daily, monthly, and quarterly processes using proprietary software and Excel spreadsheets to monitor portfolio performance and ensure trades reach the correct client accounts.
Liaise with and respond to inquires from current and potential investors, brokers, and other counterparties.
Participate in quarterly and annual regulatory filings and an annual regulatory self-exam; coordinate annual fund audit.
Review and update company policies and procedures for accuracy and regulatory compliance.
Provide HR support by tracking employee leave use, onboarding new employees, and supporting recruiting efforts including posting job ads and tracking applicants.
Help draft & revise letters and legal documents.

Experience in the investment industry and/or marketing/client relations is helpful, as is knowledge of markets and finance.

Desired Skills:

Strong Microsoft Office Skills (Word, Excel, PowerPoint)
Experience creating and editing Excel spreadsheets and formulas
Familiarity with Gmail, Google Calendar, Google Sheets
Good internet research skills
Experience coordinating meetings, including awareness/communication of time zones
Good typing skills, able to take notes on a meeting either on computer or paper
Experience using generative AI tools for research, document composition, etc.
Optional but helpful: familiarity with CRMs, Online Conferencing Platforms, Constant Contact, Adobe Acrobat.

Pay: $80,000.00 - $100,000.00 per year
