Full Job Description

Overview

The Customer Service Coordinator serves as a key link between Pangborn and its customers, responsible for accurate order entry, proactive customer communication, and follow-through from order entry through fulfillment. This role collaborates with sales, service, purchasing, operations, and engineering teams to resolve issues, maintain order accuracy, and ensure a seamless customer experience while supporting the overall efficiency of the inside sales team.

Position Duties and Responsibilities

● Accurately process customer orders, send acknowledgments, and maintain organized records of purchase orders and customer details.

● Monitor orders from entry through fulfillment, coordinating with purchasing to confirm shipping dates and proactively communicating order status, expected delivery dates, and changes to customers.

● Serve as a primary point of contact for assigned customer inquiries, providing timely responses and follow-through to ensure a positive customer experience.

● Collaborate cross-functionally with sales & service, purchasing, operations, engineering, and logistics teams to clarify requirements and resolve customer and order issues

● Take ownership of order discrepancies and customer issues, coordinating with the appropriate departments to identify and implement timely solutions.

● Maintain updated records of customer interactions, transactions, and feedback, maintaining high data accuracy and organization within the ERP system.

● Process returns, exchanges, and refunds in line with company policies and customer expectations.

● Maintain organized internal notes, files, emails, and voicemails while managing multiple priorities in a fast-paced environment.

● Demonstrate a flexible, team-oriented approach and take on additional responsibilities as needed to support team and organizational goals.

Education & Experience:

● Minimum of a high school diploma or GED equivalent.

● Minimum of 2 years of customer service, order management, administrative, or related experience preferred, preferably in the manufacturing or industrial industry.

● Order Management and Data Entry: Proficient in accurate data entry and order management with prior experience in ERP systems.

● Customer Order Ownership: Takes ownership of assigned customer orders and inquiries from initial request through resolution, ensuring timely follow-up and clear communication.

● Persistence and Assertiveness: Effective at working cross-functionally to obtain answers and resolve issues, requiring persistence, assertiveness, and strong follow-up.

● Math and Calculations: Basic math skills with the ability to understand and calculate margins, percentages, and discounts.

● Problem-Solving and Initiative: Takes initiative to address customer inquiries, applying creative problem-solving to deliver high-quality service.

● Detail Orientation and Organization: Strong attention to detail, organizational skills, and ability to manage multiple priorities in a fast-paced environment.

Tools & Technology Skills

● Proficiency in MS Office 365, Epicor ERP or similar, and Vault systems.

General Skills

● Ability to work under pressure and meet tight deadlines

● Willingness to participate in ongoing education and training opportunities

Physical Requirements and Working Environment

● Ability to sit for prolonged periods in an office environment, using a headset, computer, and other office equipment.

● Onsite, in a fast-paced, high-volume setting.

● Standard general office hours are from 8am-5pm, Monday through Friday.

Pay: $45,000.00 - $55,000.00 per year
