Position Summary

We are seeking an experienced, highly organized, and detail-oriented Maintenance Operations & Compliance Manager to oversee maintenance operations, purchasing, compliance, and cost control across our multifamily portfolio.

This is a corporate leadership role responsible for ensuring maintenance operations are executed efficiently, within budget, and in accordance with company standards. The ideal candidate is a strong operations professional who thrives on organization, accountability, and process improvement. They will work closely with Property Managers, the Head Maintenance Technician, vendors, and executive leadership to standardize maintenance procedures, oversee unit turns, control maintenance spending, and ensure every property consistently meets Zenrock's operational standards.

This position is ideal for someone who enjoys improving systems, managing multiple projects simultaneously, and driving operational excellence across an entire portfolio rather than working at a single property.

Key Responsibilities

Oversee apartment unit turns across the portfolio, ensuring units are completed on schedule and within budget.
Monitor maintenance spending, vendor costs, and repair expenses while identifying opportunities to improve efficiency and reduce costs.
Manage the work order and purchase order process, ensuring proper documentation, approvals, and accountability across all communities.
Reconcile purchase orders with work orders and maintain accurate maintenance records.
Oversee purchasing for maintenance operations, including recurring supply orders and emergency purchases.
Conduct regular audits of maintenance shops to ensure inventory, organization, and purchasing practices meet company standards.
Coordinate and oversee projects completed by the in-house construction team, including budgeting, invoicing, and project tracking.
Manage vendor relationships and ensure work is completed professionally, on schedule, and within budget.
Oversee the company's in-house pest control program, including regulatory compliance, inventory management, documentation, and safety procedures.
Establish and maintain portfolio-wide standards for curb appeal, common areas, landscaping, and overall property condition.
Conduct regular property inspections and ensure recurring maintenance and preventive maintenance schedules are consistently followed.
Coordinate plumbing inspections and other preventive maintenance initiatives to minimize utility expenses and protect company assets.
Ensure appliance logs, warranty records, work orders, purchase orders, and maintenance documentation remain organized and audit-ready.
Hold maintenance teams accountable for budgets, timelines, documentation, and company standards.
Track outstanding maintenance items related to lender requirements, insurance inspections, and code compliance until completion.
Prepare reports and provide operational updates to executive leadership.

Qualifications

Minimum of 3 years of experience in multifamily maintenance operations, facilities management, construction management, or a related field.
Experience managing maintenance budgets, purchasing, vendor relationships, or operational expenses.
Strong understanding of maintenance operations, including plumbing, HVAC, electrical systems, and general building maintenance.
Experience overseeing vendors, subcontractors, or maintenance teams.
Excellent organizational, project management, and follow-up skills.
Strong Microsoft Office skills, particularly Excel, Outlook, and Word.
Ability to manage multiple priorities across several communities simultaneously.
Excellent communication skills with the ability to hold teams accountable while building positive working relationships.
Valid driver's license with the ability to travel regularly throughout the portfolio.
