Job Description – Parts Specialist
Department: Sales
Reports To: Director of Sales
FLSA Status: Non-Exempt
Job Summary
The Parts Specialist plays a critical role in supporting our customers and internal teams by accurately identifying, sourcing, ordering, and managing parts for Ring-O-Matic vacuum excavation machines and related equipment. This position ensures timely availability of components to minimize downtime for end-users in demanding field applications. The role combines strong product knowledge, customer service, inventory management, and coordination within a fast-paced manufacturing environment.
Key Responsibilities

Assist customers (dealers, end-users, and internal departments) in identifying the correct replacement parts for Ring-O-Matic vacuum excavators, hydro excavation units, and accessories through detailed review of machine serial numbers, parts manuals, diagrams, and technical specifications.

Process parts orders efficiently via phone, email, and our internal systems, ensuring accuracy and timely fulfillment.

Maintain and update parts inventory records, monitor stock levels, and initiate replenishment orders to support manufacturing and aftermarket needs.

Collaborate with manufacturing, engineering, purchasing, and service teams to resolve part issues, verify substitutions, and support new product introductions.

Handle warranty claims related to parts, including documentation, returns, and credits.

Research and source non-stock or obsolete parts from suppliers when necessary.

Prepare shipping documents, package parts for outbound shipment, and coordinate with logistics for on-time delivery.

Contribute to continuous improvement of parts processes, catalog accuracy, and customer satisfaction.

Perform cycle counts, physical inventory audits, and general warehouse/parts room organization as needed.

Stay current on product updates, engineering changes, and new parts releases for Ring-O-Matic equipment.
Qualifications
-
High school diploma or GED required, associate degree or technical certification in parts management, supply chain, or a related field preferred.

2+ years of experience in parts sales, counter sales, inventory management, or a similar role, preferably in heavy equipment, manufacturing, construction, or automotive industries.

Familiarity with vacuum excavation, hydro-vac, or similar industrial equipment is highly desirable.

Strong mechanical aptitude and ability to read blueprints, parts diagrams, and exploded views.

Proficiency with ERP/inventory management systems (experience with manufacturing software a plus).

Excellent customer service and communication skills, with the ability to explain technical details clearly.

Detail-oriented with strong organizational and problem-solving abilities.

Basic computer skills including Microsoft Office (Word, Excel, Outlook).

Ability to lift to 50 lbs. and perform physical tasks in a warehouse/manufacturing setting.
Preferred Skills

Knowledge of heavy equipment parts numbering systems and supply chain processes.

Experience supporting dealers or field service teams in the construction/utilities sector.

Forklift certification or willingness to obtain.
