Job Overview

We are seeking a dynamic and highly organized Office/Account Manager to lead our administrative and financial operations. This pivotal role combines office management, client communication, and accounting responsibilities to ensure seamless daily operations. The ideal candidate will thrive in a fast-paced environment, demonstrating exceptional organizational skills, technical proficiency, and a proactive approach to problem-solving. Duties

Oversee daily office functions, including managing multi-line phone systems, scheduling appointments, and maintaining filing systems for optimal efficiency
Coordinate event planning activities such as meetings, conferences, and company functions to ensure smooth execution from start to finish
Supervise administrative staff and provide training & development opportunities to enhance team performance
Manage vendor relationships, negotiate contracts, and oversee procurement processes to support office needs
Handle human resources tasks including onboarding new employees, maintaining confidential personnel records, and supporting payroll processing using financial software like QuickBooks or similar systems
Maintain accurate bookkeeping records, perform budgeting tasks, and assist with financial reporting using spreadsheets and accounting software
Ensure compliance with company policies regarding confidentiality, client communication standards, and office procedures

Skills

Proven experience in office management, administrative support, or related roles with strong clerical skills
Demonstrated supervisory experience with the ability to lead and motivate a team effectively
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and advanced spreadsheet management skills
Familiarity with accounting software such as QuickBooks or equivalent financial tools; experience with bookkeeping and financial reporting is essential
Strong organizational skills with the ability to manage multiple priorities simultaneously while maintaining attention to detail
Excellent communication skills for client interaction, team collaboration, and vendor negotiations
Knowledge of human resources practices including onboarding, payroll processing, and employee relations
Ability to handle confidential information discreetly and professionally
Experience in event planning, vendor management, and office logistics is highly desirable
Technical proficiency in using multi-line phone systems, calendar management tools, and office equipment
