Overview
We are seeking a dynamic and highly organized Office Administrator to join our team! This vital role ensures the smooth operation of daily office functions, supports team members, manages administrative tasks, and maintains an efficient work environment. Responsibilities

Oversee daily office operations, including front desk management, multi-line phone systems, and greeting visitors with professionalism and warmth
Manage calendar scheduling for meetings, appointments, and company events, ensuring optimal time utilization
Coordinate event planning activities such as meetings, trainings, and company functions to promote team engagement
Handle client management tasks, invoice processing via QuickBooks, and maintaining client relationships
Maintain accurate filing systems, bookkeeping records, and ensure compliance with organizational policies and procedures
Manage office supplies inventory to ensure all departments are well-equipped for daily operations

Qualifications

Proven experience in office management, administrative support, or clerical roles within a professional environment
Strong organizational skills with the ability to multitask efficiently in a fast-paced setting
Excellent communication skills—both verbal and written—with professional phone etiquette
Proficiency in Office suite applications (Word, Excel, Outlook) and familiarity with QuickBooks or similar accounting software
Experience with event planning, vendor management, and schedule coordination
Supervising experience or team management skills are highly desirable
Knowledge of human resources processes including payroll administration and employee onboarding is a plus
Ability to handle sensitive information discreetly while maintaining confidentiality
Prior experience in medical office management or healthcare settings is advantageous but not required
