Summary

Are you a hospitality-minded leader who thrives on creating fun, safe, and welcoming experiences for families while driving operational excellence? 5 Cities Swim School is seeking an Administrative Manager to lead the administrative operations of our swim school located in Arroyo Grande, California.

The Administrative Manager serves as the front office leader responsible for office and administrative functions of the facility. This role oversees customer service, enrollment, administrative staff development, and front office operations while ensuring every family experiences the warm hospitality, organization, and professionalism that define 5 Cities Swim School. The ideal candidate is a detail-oriented leader who thrives on delivering outstanding customer service.

The Administrative Manager reports directly to the General Manager and leads the Front Office team as direct reports.

Essential Duties & Responsibilities

Lead and develop the Front Office team, fostering a culture of hospitality, accountability, professionalism, and exceptional customer service.
Oversee the daily administrative operations that underpin the customer journey, including Front Office workflows.
Ensure every family receives an excellent customer experience from their first inquiry through a long-term swim experience.
Oversee front office scheduling and administrative staffing to ensure appropriate coverage throughout operating hours.
Partner with the Back Office team to support customer communications, finance, and account processes.
Coordinate communication and daily operations between the Front Office, Deck Leadership, and Aquatics teams.
This is primarily an office-based role; you'll typically also pick up one deck shift and at least one in-water teaching shift per week.
Monitor key operational metrics including enrollment, customer retention, in-person response times, and customer satisfaction while identifying opportunities for continuous improvement.
Lead onboarding, training, coaching, and professional development for administrative team members.
Oversee office organization, inventory, supplies, and checklists to ensure efficient day-to-day operations.
Support company initiatives, special events, and operational projects.
Serve as the administrative leader of the facility, setting the standard for organization, communication, and hospitality.

Requirements

Minimum

2–3 years of administrative or customer service experience.
Highly organized with a demonstrated ability to excel in administrative and organizational responsibilities.
Strong communication and relational skills.
Ability to manage multiple priorities in a fast-paced environment.
Experience using operational metrics and KPIs to improve performance.
Passion for hospitality and creating exceptional family experiences.
40 hours per week, 5 days per week.
Ability to work until 7pm on weekdays and at least one weekend day per week.

Preferred

Aquatics, swim school, recreation, fitness, or hospitality managerial experience.
Experience training and onboarding employees.
Experience improving operational systems and administrative processes.

Required Certifications

Ability to obtain and maintain a lifeguard certification
Additional certifications as required by company standards

Work Environment

Combination of office, customer service, and indoor pool deck environments.
Frequent standing, walking, coaching, and interaction with staff and families.
Exposure to pool chemicals and indoor aquatic environments.
Ability to lift up to 50 pounds and respond to emergencies when necessary.
