Full Job Description

Job Overview

We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This role supports project managers, field staff, and company leadership by maintaining organized records, coordinating office activities, and ensuring efficient communication.

The ideal candidate will be proactive, detail-oriented, and possess excellent organizational and communication skills. As an Office Manager, you will be the backbone of our administrative team, supporting staff, managing office systems, and enhancing overall productivity.

Responsibilities

Manage daily office operations and administrative tasks.
Answer phones, respond to emails, and greet clients and visitors.
Prepare, organize, and maintain project files and company records.
Assist with scheduling meetings, appointments, and project deadlines.
Process invoices, purchase orders, and other office documentation.
Coordinate with vendors, subcontractors, and suppliers as needed.
Maintain office supplies and equipment.
Assist with payroll, timekeeping, and employee paperwork.
Support project managers with administrative duties.
Ensure compliance with company policies and maintain confidentiality of sensitive information.

Skills

Strong computer literacy and/or experience with construction management software
Bilingual abilities are a plus to support diverse client and staff interactions
Previous office management or administrative experience
Exceptional customer service skills combined with professional phone etiquette
Ability to multitask effectively in a fast-paced environment while maintaining high productivity levels
Ability to work independently and as part of a team
Strong organizational, communication, and multitasking skills

Work Environment

This position is in person/office based in a fast-paced work environment. The Office Manager will interact regularly with other office staff, the company owners, sales reps, clients, vendors, and subcontractors to support successful project operations.
