Full Job Description

GENERAL STATEMENT OF DUTIES

The Human Resources Specialist is responsible for the accurate and timely processing of payroll, overseeing the onboarding and offboarding of employees, maintaining employee records, and ensuring compliance with credentialing requirements for therapists. This role is integral to facilitating a seamless employee experience and ensuring all HR-related processes are executed efficiently and accurately.

EDUCATION/EXPERIENCE

Associate’s or Bachelor’s degree in Human Resources, Business Administration, or related field preferred

Minimum of two years of experience in human resources, payroll, or a related role.

Strong oral and written communication skills are imperative, as well as good organizational ability.

Must be familiar with current laws and regulations regarding employers’ and employees’ rights and privileges.

Bilingual proficiency in English and Spanish is a plus but not required.

PRINCIPLE DUTIES

Payroll Processing

Prepare and process bi-weekly payroll, ensuring accuracy and compliance with all applicable regulations.
Maintain payroll records and assist with resolving any discrepancies or employee inquiries related to payroll
Coordinate timekeeping processes and ensure proper documentation of time off balances.
Complete review of expenditure reports, in a timely manner, to ensure correct billing, and report any discrepancies to HR Manager.
Responsible for maintenance of retirement program, to include ensuring employees are enrolled, make appropriate payroll deductions, and distribute information to employees.

Onboarding and Offboarding

Facilitate new hire onboarding, including maintaining and updating the new hire tracking spreadsheet.
Conduct background checks and ensure completion of all required employment documentation.
Coordinate termination procedures, including retrieval of company equipment, system access deactivation, and final payroll processing.
Ensure that all personnel, medical, I9 files and required forms are on file and are in compliance with grant requirements, audit requirements, internal policy, and COA standards.
Assist with credentialing and licensing verification for therapists, ensuring all documentation is current.
Responsible for enrolling, updating and terminating employees in insurance plans, retirement and other programs.

Employee Records and Compliance

Maintain accurate and up-to-date electronic employee records, ensuring compliance with legal and organizational standards.
Assist with the maintaining Employee Procedural Guideline Manual ensuring accordance with required government and internal policies. Ensure that policies are carried out in a uniform, fair manner.
Attend trainings to maintain knowledge of current human resources issues and supervisory skills.
Support the HR team with special projects, reporting, and policy implementation
Maintain confidentiality and security of employee information and sensitive data.
Assist with employee relations matters as needed, including participating in workplace investigations, disciplinary actions, and termination processes.
Other duties as assigned.

Complies with agency/state/legal mandates for reporting suspected abuse/maltreatment/neglect or person at risk of homicide/suicide to appropriate authorities and completes all necessary paperwork.
Attend all staff meetings.
Attend staff development training for professional growth.
