Full Job Description

Peak Behavioral Health is seeking a Medical Billing Specialist to join our team at our Norman office!

The Billing Specialist is responsible for the timely, accurate submission and follow-up of insurance claims for outpatient behavioral health services. This role ensures maximum reimbursement while maintaining compliance with payer requirements, HIPAA regulations, and organizational policies. The Billing Specialist works closely with providers, credentialing, scheduling, and front office staff to resolve billing issues, reduce denials, and improve revenue cycle performance.

Essential Functions:

Claims Management

Review, prepare, and submit electronic and paper claims for behavioral health, speech and occupational therapy services.
Ensure claims are submitted accurately and within payer filing deadlines.
Verify appropriate CPT, HCPCS, ICD-10, and modifier usage based on documentation.
Monitor claim status through clearinghouses and payer portals.
Identify and correct claim rejections before resubmission.

Denial Management

Research denied, rejected, or underpaid claims.
Prepare and submit corrected claims and appeals.
Analyze denial trends and recommend process improvements.
Maintain documentation of appeal activity and payer communications.
Follow up on outstanding claims until resolution.

Accounts Receivable

Maintain assigned insurance AR.
Prioritize aging claims according to organizational standards.
Contact insurance companies regarding unpaid or delayed claims.
Document all payer communications thoroughly.

Payment Posting Support

Assist with reconciliation of insurance payments when needed.
Identify payment discrepancies and contractual adjustment issues.
Report payer underpayments or processing errors.

Behavioral Health Billing

Bill outpatient services including:
Individual Therapy
Family Therapy
Group Therapy
Psychological Testing
Diagnostic Evaluations
Understand authorization requirements and visit limitations.
Review documentation for billing compliance.
Calculate Behavioral Health Provider payroll, based on percentages of paid billing.

Insurance Knowledge

Work with commercial insurance, Medicaid, and managed care plans.
Understand payer-specific behavioral health billing guidelines.
Maintain knowledge of telehealth billing regulations.

Patient Billing Support

Assist with patient billing inquiries.
Explain insurance balances and patient responsibility.
Coordinate with front office staff regarding billing questions.

Compliance

Maintain HIPAA compliance at all times.
Follow CMS, payer, and state billing regulations.
Protect confidential patient information.
Participate in billing audits and compliance initiatives.

Collaboration

Communicate with providers regarding documentation deficiencies.
Partner with scheduling and intake teams to resolve registration or authorization issues.
Collaborate with credentialing staff regarding payer enrollment concerns.
Participate in departmental meetings and workflow improvement initiatives.

Required Qualifications

High school diploma or equivalent.
Minimum 2 years of direct medical billing experience.
At least 1 year of outpatient behavioral health, speech, and occupational therapy billing experience preferred.
Experience with electronic medical records (EMR) and practice management systems.
Knowledge of medical terminology.
Understanding of ICD-10-CM, CPT, and HCPCS coding.
Experience working with insurance portals and clearinghouses.
Strong computer and Google Workspace skills.

Preferred Qualifications

Certified Professional Biller (CPB) or equivalent certification.
Experience with Medicaid managed care organizations.
Experience billing psychological testing and behavioral health evaluations.
Experience billing Applied Behavior Analysis (ABA)
Familiarity with telehealth billing regulations.
Experience using clearinghouses such as Waystar, Office Ally, Availity, or Change Healthcare.

Knowledge, Skills, and Abilities

Ability to interpret Explanation of Benefits (EOBs) and Electronic Remittance Advice (ERAs).
Knowledge of behavioral health billing regulations.

Commitment to maintaining patient confidentiality.

Key Performance Indicators (KPIs)

Claims submitted within 48 hours of service completion.
First-pass clean claim rate of 95% or higher.
Denial rate below 5%.
Insurance AR over 90 days below organizational target.
Average claim turnaround time.
Appeal success rate.
Timely resolution of rejected claims.
Collection rate compared to payer allowable.
Documentation of payer follow-up completed according to policy.
Productivity goals for claims worked per day.

Work Environment and Reporting

The Billing Specialist works in an office setting and reports to the Billing Manager.

Physical Demands

The physical demands described here are representative of those that must be met by the Billing Specialist to successfully perform the essential functions of this job.

While performing the duties of this job, the Billing Specialist is regularly required to speak and hear sufficiently to communicate effectively by phone or in person at normal volumes. The Billing Specialist’s vision must be adequate to read correspondence, computer screens, forms, etc. The position requires good manual dexterity. The Billing Specialist is required to sit and use a computer and keyboard for prolonged periods of time. The position requires the ability to reach with hands and arms; and occasionally requires the ability to stand, walk, kneel, bend, lift and move up to 25 pounds.

Classification and Compensation

The Billing Specialist is a salaried exempt position. Payroll is processed bi-weekly, constituting 26 annual pay periods. The salary will increase as outlined below:

Annual Salary $
Medical/Dental/Vision Insurance (Peak will pay for 50% of these insurance premiums for the employee). Dependents can be added as needed, but the employee is responsible for 100% of those costs.
Short-Term Disability (100% paid by Peak)
Up to 4% matching Retirement benefits, once eligibility requirements have been met
Paid Time Off (accrue up to 3 weeks annually; additional accruals following 3 years of full-time employment)
Paid Holidays, as outlined in Peak’s Policy Manual
Paid Continuing Education (Up to $500 annually)
Paid Expenses (supplies as needed for Billing department)

Position Type/Expected Hours of Work

This is a full-time position with the expectation that the Billing Specialist works at least 40 hours weekly. Work is primarily expected to occur during typical weekdays (Monday-Friday); but work and/or training may be required on weeknights or weekends to ensure the expectations and requirements of the position are being met.
