POSITION SUMMARY

Thirty Nine Enterprises, LLC is a subsidiary of First Americans Museum FAM with the goal of driving First American Museum's mission within food and beverage services. The Events & Catering Manager is responsible for the full oversight and execution of all events and catering operations FAM. This person leads the events team, owns the client relationship from first inquiry through final payment, and ensures that contracts, deposits, and collections are handled with accuracy and urgency. The Events & Catering Manager brings seasoned experience to the role and operates with a high degree of independence, accountability, and professionalism. The Events & Catering Manager sets the standard for the department and is responsible ensuring the same standard from the Events team.

DUTIES AND RESPONSIBILITIES

Supervise, coach, and hold the Events Coordinator and Events Support Coordinator accountable through regular communication, performance management, and staff development.

Contract, Deposit, and Payment Management

Manage the entire contract lifecycle from proposal and agreement through invoicing, payment collection, and event closeout.
Ensure all contracts, deposits, invoices, and payment records are accurate, current, and maintained across event and financial systems.
Track payment deadlines, collect outstanding balances, and communicate collection status to leadership and Finance.
Serve as the primary contact for billing matters, cost adjustments, invoices, overages, and purchase requests.
Support financial planning by coordinating cash bar requests, obtaining required tax documentation, and contributing to budget forecasting.

Client Relations

Serve as the primary client contact, providing responsive and professional support from inquiry through post-event follow-up.
Partner with the events team to conduct client meetings, venue tours, needs assessments, and proposal development.
Build strong client relationships that encourage repeat business, referrals, and a positive venue reputation.
Coordinate with vendors and third-party payers to ensure all event requirements are confirmed and communicated.
Resolve client concerns promptly and escalate significant issues when necessary.

Event Operations and Execution

Oversee all event planning, execution, and post-event activities, ensuring complete and accurate event details are documented.
Ensure floor plans, work orders, BEOs, calendars, and event records are accurate, approved, and distributed within established timelines.
Coordinate event communication among facilities, kitchen, bar, and support teams to ensure seamless operations.
Manage event inventory, staffing support, lead assignments, and operational logistics for successful event delivery.
Review event outcomes and provide post-event reporting and recommendations to leadership.

Policy, Compliance, and Reporting

Enforce departmental policies, procedures, and compliance requirements, including Oklahoma ABLE liquor laws and organizational standards.
Maintain accurate records, contracts, and reporting systems to support operational and financial accountability.
Prepare and submit attendance, revenue, staffing, and other required reports to leadership and Finance.
Coordinate staffing plans with restaurant, temporary, and event personnel to ensure adequate coverage for all events.
Support catering operations, client tastings, cross-department collaboration, and other duties as assigned.
Lead team operations including weekly Events and BEO meetings, pre-event briefings, scheduling, staffing coordination, recruiting, and training.
Ensure timely responses to client inquiries, contract follow-up, and completion of event-related tasks and deadlines.
Manage department resources, supplies, equipment purchases, service fee reporting, and staff scheduling while monitoring overtime needs.
Foster a proactive, client-focused approach by identifying event requirements, solving problems, and supporting successful event execution.

QUALIFICATIONS

Minimum 8 years of experience in events management, catering, or hospitality, with at least 5 years in a leadership or management role.
Bachelor’s degree in hospitality management, Event Management, Business, or a related field preferred.
Proven track record of managing client relationships, executing high-quality events, and driving revenue through bookings and collections.
Demonstrated experience leading and holding accountable a team of direct reports.
Strong command of contract management, deposit collection, and payment follow-through.
Excellent written and verbal communication skills; professional and responsive in all client interactions.
Experience with event management software such as Planning Pod or similar platforms.
Proficiency in Microsoft Office and Google Suite.
Strong financial literacy including invoicing, collections, and budget oversight.
Ability to manage multiple events simultaneously with a high level of accuracy and attention to detail.
Ability to work evenings, weekends, and holidays as events require.
Current ABLE License.
Current FoodServ Certificate.
Ability to train staff.
Other job duties assigned.
