Job Summary

We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Your energetic approach and attention to detail will help foster an efficient, welcoming environment. Duties

Manage front desk operations, greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy
Maintain organized office files, data entry records, and spreadsheets using Microsoft Office productivity software including Word, Excel, and other tools
Schedule appointments, coordinate calendars, and organize meetings efficiently to maximize productivity
Handle correspondence via email, phone communication, and written documents with accuracy and clarity
Support bookkeeping activities by utilizing QuickBooks for invoicing, expense tracking, and financial record keeping
Assist with office management tasks such as ordering supplies, maintaining equipment, and overseeing general administrative functions
Provide excellent customer service by addressing inquiries promptly and supporting client communication efforts

Qualifications

Proven experience in an office environment with strong clerical skills and familiarity with office management procedures
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with strong computer literacy and technical proficiency
Experience with QuickBooks or similar accounting software is highly desirable
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting
Strong typing skills, proofreading abilities, and attention to detail for accurate data entry and document preparation
Bilingual abilities are a plus to enhance client communication and team collaboration
Exceptional phone etiquette skills with experience managing multi-line phone systems and front desk responsibilities
Demonstrated customer service experience coupled with effective time management skills
Prior administrative or personal assistant experience is preferred but not required
