CenterLife Counseling is a well‑established and growing group practice with 17 years of service in the community. LOCATIONS
CenterLife Counseling has two clinic locations:
- Centerville, MN
- White Bear Lake, MN
PURPOSE
The purpose of this position is to serve as an effective and engaged team member supporting office operations, clients, and clinicians. While this role supports both clinic locations, it will be primarily based in our Centerville, MN clinic.
CORE DUTIES AND RESPONSIBILITIES

As the first point of contact and the welcoming “face” of client coordination at CenterLife Counseling, you will support daily clinic operations in the following areas:
Client Experience & Front Office Operations
- Serve as the first point of contact for clients, visitors, staff, and clinicians
- Create a calm, welcoming, and professional client experience during check‑in and check‑out
- Answer and direct phone calls with clarity, warmth, and efficiency
- Maintain strict confidentiality of all client and company information
Scheduling, Records & Billing Support
- Process new client intakes with compassion, accuracy, and attention to detail
- Verify insurance information and support related administrative processes
- Schedule appointments and maintain clinician and clinic calendars
- Work consistently within an Electronic Medical Records (EMR) system
- Accept and record payments; reconcile daily totals
- Support the smooth flow of information between clinic operations and billing
Office Operations & Environment
- Organize, maintain, and audit office and client paperwork
- Process correspondence via email, fax, and postal mail
- Provide basic (non‑technical) operational support for office technology
- Serve as a liaison with staff, clinicians, contractors, and vendors
- Take ownership of the clinic environment and care thoughtfully for its appearance
Team Contribution & Culture
- Complete assigned projects efficiently
- Maintain reliable and consistent attendance
- Communicate proactively and take responsibility for follow‑through

REQUIRED KNOWLEDGE AND SKILLS
- Ability to multitask while remaining calm, focused, and professional
- Ability to work independently while contributing positively to a team
- Strong organizational skills and attention to detail
- Proficiency with Microsoft Office and standard office equipment
- Clear communication, strong interpersonal skills, and sound judgment
- Ability to learn new systems quickly and adapt to change
DESIRED KNOWLEDGE AND SKILLS
- Experience in a mental health, medical, or clinical setting
- Familiarity with EMR systems and insurance processes
- Experience with clinician credentialing or medical/mental health billing
REQUIRED QUALIFICATIONS
- High school diploma or equivalent
- 2+ years of administrative experience in an office setting
- Experience working in a medical, mental health, or clinical environment
- 2+ years free from active drug and/or alcohol addiction
- Employment contingent upon successful completion of a background check
DESIRED QUALIFICATIONS
- 3+ years of administrative experience in a clinical setting
- Office procedures training or a related two‑year degree
- Four‑year college degree in a relevant field (highly desirable)

- Monday - Friday (no weekends)
