THE POSITION
The Aviation Repair Coordinator/Documentation Specialist oversees the coordination of aircraft component repairs and the management of associated technical documentation to ensure safe, compliant, and efficient operations. This role is responsible for sourcing and managing a global network of approved repair vendors, optimizing cost and turnaround time, and ensuring high standards of quality and performance.
Working cross-functionally with internal teams, customers, and external partners, the position supports operational objectives by managing repair workflows, maintaining accurate records, and resolving documentation and compliance requirements. The role requires strong industry knowledge, attention to detail, and the ability to manage time-sensitive priorities in a dynamic aviation environment.
WHAT YOU WILL DO
- Identify, evaluate, and onboard FAA/EASA-approved repair stations and vendors across a global network.
- Proactively source and develop new repair vendor relationships to expand capabilities and improve cost and turnaround time options.
- Build and maintain strong partnerships with repair vendors to ensure reliable performance, responsiveness, and quality.
- Coordinate the repair of unserviceable or time-expired components.
- Issue and manage repair orders (ROs), ensuring accurate documentation and compliance requirements are met.
- Obtain and analyze repair quotes, including pricing, turnaround time (TAT), and technical capabilities.
- Negotiate repair costs, service levels, and delivery timelines with vendors.
- Track repair status from induction through completion and return to service.
- Monitor and evaluate vendor performance, including quality, turnaround time, and on-time delivery.
- Support customer and internal RFQs by providing accurate repair cost and lead time data.
- Maintain detailed records of repair activity, vendor quotes, and historical data within ERP/CRM systems.
- Collaborate with operations, sales, and program management to prioritize repairs and meet delivery commitments.
- Escalate AOG (Aircraft on Ground) and critical repairs to ensure expedited turnaround.
- Contribute to continuous improvement initiatives related to repair sourcing strategies and vendor performance.
- Assist with administration and tracking of maintenance service contracts and vendor documentation requirements.
- Support engine and component evaluations by compiling and verifying technical records data.
- Coordinate with airlines, customers, MRO facilities, and internal stakeholders to fulfill records requests and resolve documentation discrepancies.
QUALIFICATIONS
Education
- Bachelor’s degree preferred; equivalent industry experience considered.
Knowledge/Experience
- 3–5+ years of experience in aviation repair coordination, MRO, or supply chain operations.
- Strong understanding of aviation components and repair processes within the aftermarket.
- Experience working with commercial aircraft components (rotable and expendable parts).
- Background in aftermarket distribution, MRO providers, or airline supply chain operations.
- Demonstrated experience identifying, developing, and managing vendor relationships.
- Familiarity with FAA/EASA repair station requirements and documentation standards (e.g., 8130-3, EASA Form 1).
- Experience evaluating and approving repair quotes and managing turnaround times.
Skills
- Proven negotiation skills with vendors on pricing and service levels.
- Proficiency in Microsoft Excel and ERP/CRM systems (e.g., AvSight or similar platforms).
- Exceptional attention to detail with a high degree of accuracy.
- Excellent communication and relationship management skills.
- Strong analytical and problem-solving skills with the ability to research and reconcile complex documentation issues.
- Effective time management and organizational skills.
- Comfortable working with maintenance tracking systems and electronic records databases.

Pay: $65,000.00 - $75,000.00 per year
