In this role, you’ll collaborate with engineers, surveyors, planners, landscape architects, and marketing professionals to develop compelling proposals and materials that help us win meaningful work and strengthen the communities we serve.
Job Summary
The Proposal Coordinator leads the development of high-quality proposals and qualifications packages that showcase Interstate Engineering’s expertise, experience, and commitment to its clients. This role manages the proposal process from initial review through final submission, coordinating schedules, technical content, project information, resumes, graphics, and compliance requirements.
In addition to proposal development, the Proposal Coordinator supports marketing campaigns, events, content creation, and performance reporting that strengthen the firm’s visibility and client engagement. The ideal candidate is an organized project manager, confident writer and editor, and collaborative partner who can turn complex technical information into clear, compelling content.
Key Responsibilities
- Lead the development of compelling, accurate, and compliant responses to Requests for Proposals, Requests for Qualifications, and other client solicitations.
- Review solicitation requirements, establish proposal schedules, assign responsibilities, and keep multidisciplinary teams moving toward submission deadlines.
- Collaborate with engineers, surveyors, planners, landscape architects, funding specialists, and other technical professionals to develop tailored proposal strategies and content.
- Write and edit project descriptions, employee resumes, technical narratives, presentations, and other materials that clearly communicate the firm’s qualifications and value.
- Coordinate proposal layouts and visual content with the Senior Graphic Designer to produce polished materials consistent with Interstate Engineering’s brand.
- Maintain and organize proposal resources, including project profiles, employee resumes, photographs, client information, proposal archives, and reusable content.
- Coordinate project photography and help identify opportunities to showcase the people, projects, and communities behind Interstate Engineering’s work.
- Track proposal activity, win/loss ratios, and other performance metrics, using the results to recommend improvements to future proposal efforts.
- Develop promotional materials and proposal content highlighting the firm’s success with grant-funded and community-focused projects.
- Support marketing campaigns, presentations, brochures, digital content, and other initiatives that increase brand awareness and client engagement.
- Assist with planning company and client events, including trade shows, community outreach activities, Technical and Safety Training, ESOP Celebration, and the company Christmas party.
- Coordinate event logistics, schedules, materials, budgets, and vendor relationships.
- Partner with the Community Engagement Specialist and Planning Team to incorporate community priorities and stakeholder feedback into relevant proposals and marketing efforts.
- Proofread and edit content for clarity, accuracy, consistency, grammar, and brand alignment.
- Participate in professional development and cross-training to strengthen proposal management, writing, design, marketing, and stakeholder-engagement skills.
- Support additional marketing and proposal initiatives as assigned.
Qualifications
- Bachelor’s degree in marketing, communications, business, English, journalism, or a related field.
- Two to four years of experience in proposal coordination, marketing, communications, professional services, or a related area.
- Experience using Adobe InDesign is required; familiarity with additional Adobe Creative Suite applications is preferred.
- Experience coordinating multiple projects, contributors, and deadlines simultaneously.
- Strong writing, editing, proofreading, organizational, and project-management skills.
- Ability to interpret detailed solicitation requirements and produce accurate, compliant submissions.
- Proficiency with Microsoft Office; experience with proposal databases, digital marketing platforms, analytics tools, or social media scheduling tools is preferred.
- Ability to work independently while building strong relationships across multidisciplinary teams.
- Experience in the engineering, construction, or professional-services industry is preferred but not required.
