Job Summary
We are seeking a dynamic and highly organized Business Office Director to lead and manage the administrative and operational functions of our organization. This pivotal role involves overseeing office management, supervising administrative staff, coordinating vendor relationships, managing financial tasks such as bookkeeping and budgeting, and ensuring smooth day-to-day operations. The ideal candidate will possess exceptional communication skills, strong organizational abilities, and a proactive approach to problem-solving. As a key leader within our team, you will foster a productive work environment, streamline processes, and support the overall mission of the organization with enthusiasm and professionalism.

Duties

Oversee daily office operations, including front desk management, multi-line phone systems, filing systems, and calendar management to ensure efficiency and professionalism.
Supervise administrative staff, providing training, development opportunities, and performance feedback to foster a motivated team.
Manage vendor relationships by negotiating contracts, coordinating services, and ensuring timely delivery of supplies and services.
Handle human resources functions such as payroll processing, employee records management, onboarding new staff, and supporting HR initiatives.
Coordinate event planning activities for organizational meetings, community outreach events, or internal celebrations to promote engagement.
Maintain accurate bookkeeping records using QuickBooks or similar accounting software; oversee budgeting processes and monitor expenses to stay within financial targets.
Support medical office management or related administrative functions if applicable; ensure compliance with relevant policies and procedures.
Manage scheduling for executives or department heads; optimize calendar management for meetings, appointments, and deadlines.
Ensure office compliance with safety standards; implement filing systems and clerical procedures that promote organization and accessibility.
Facilitate training sessions on office procedures, phone etiquette, communication skills, and other relevant topics to enhance team performance.

Qualifications

Proven supervisory experience in an office environment with demonstrated leadership capabilities.
Strong proficiency in QuickBooks or comparable bookkeeping/accounting software.
Excellent organizational skills with the ability to manage multiple priorities effectively.
Experience in event planning and vendor management to coordinate organizational activities seamlessly.
Knowledge of human resources processes including payroll administration and employee onboarding.
Familiarity with medical office management or healthcare administrative procedures is a plus.
Exceptional communication skills—both verbal and written—to interact professionally with staff, vendors, clients, and stakeholders.
Proficiency in schedule management tools and multi-line phone systems; adept at calendar coordination.
Ability to train team members on office procedures; committed to fostering a positive work environment through effective training & development initiatives.
