Administrative Coordinator & Bookkeeper

Department: Property Management / Operations
Reports To: Vice President of Commercial Real Estate & Property Management
Employment Type: 30 hrs/week

About Us: Gleason Realty Group oversees a growing commercial property management portfolio and self-storage business. We are seeking an experienced and reliable 30-hour a week Administrative Coordinator & Bookkeeper to join our team.

Position Overview

We are seeking a highly organized, dependable, and detail-oriented Administrative Coordinator to support the Vice President of Commercial Real Estate & Property Management with the day-to-day operations of a portfolio of commercial properties and storage facilities.

This position will serve as a key administrative and operational support role, assisting with property management, accounting, tenant relations, and office administration. The ideal candidate is someone who is proactive, comfortable managing multiple priorities, has strong attention to detail, and can work independently while knowing when to escalate an issue.

This is an excellent opportunity for someone who enjoys a varied role and wants exposure to commercial real estate, property management, accounting, and business operations.

Key Responsibilities

Property Management & Operations

Assist the VP of Commercial Real Estate & Property Management with the day-to-day management of commercial properties.
Maintain organized property, tenant, lease, and vendor records.
Assist with lease administration, including tracking lease terms, renewal dates, rent increases, options, and important deadlines.
Assist with annual property budgeting and expense tracking.
Help prepare information for CAM reconciliations and other tenant billings.
Assist with property management software and maintain accurate records.
Provide general administrative support to the VP as needed.

Accounting & Financial Administration

Assist with accounts payable and accounts receivable functions.
Track tenant rent payments and outstanding balances.
Help reconcile bank, credit card, vendor, and property-related transactions.
Assist with monthly financial reporting and expense tracking.
Maintain organized accounting documentation and records.
Communicate with vendors and tenants regarding invoices, payments, and account questions.
Assist with CAM reconciliations and year-end accounting processes.
Work closely with the VP and outside accounting professionals to ensure accurate financial records.

General Administrative Support

Schedule meetings, inspections, vendor appointments, and other events.
Maintain electronic and physical filing systems.
Assist with special projects and business initiatives.
Conduct research and gather information as requested.
Help identify opportunities to improve organization, efficiency, and internal processes.
Perform other duties and responsibilities as assigned.

Qualifications

2+ years of experience in accounting or bookkeeping strongly preferred.
2+ years of experience in property management, office administration, real estate, operations, or a related field preferred.
Experience with DoorLoop, QuickBooks or ADP preferred.
Strong organizational and time-management skills.
Excellent written and verbal communication skills.
Strong attention to detail and accuracy.
Ability to manage multiple projects and deadlines simultaneously.
Comfortable working independently and taking initiative.
Strong computer skills, including Microsoft Office/Excel.
Experience with accounting software, property management software, or HR/payroll systems is a plus.
Ability to handle confidential information with discretion.
Professional, dependable, and service-oriented demeanor.
Ability to communicate effectively with tenants, vendors, employees, ownership, and outside professionals.

The ideal candidate is a highly organized problem-solver who enjoys being the person who keeps things moving. They should be comfortable jumping between property management, accounting, and general administrative tasks throughout the day.

Commercial real estate or property management experience is helpful, but the right combination of organization, initiative, professionalism, and willingness to learn is equally important.

Pay: $25.00 - $30.00 per hour
