Full Job Description

Position Summary

The Payroll Specialist supports branch operations by ensuring the timely review, preparation, and accuracy of payroll and timekeeping data. This role supports weekly payroll readiness, reviews time entries for accuracy and compliance, assists with certified payroll and union payroll processing requirements, and helps ensure payroll information is submitted accurately and on time. The Payroll Specialist serves as a primary payroll resource for field and office employees and partners closely with branch operations, regional finance leadership, Human Resources, and the centralized payroll team to resolve payroll questions, support compliant payroll processing, escalate complex matters when appropriate, and provide a consistent, high-quality payroll support experience.

Essential Duties and Responsibilities

Review, collect, and approve employee time across approved timekeeping systems, including TCR, HCSS, TradeSeal, Paycor, or other company-designated platforms.
Review time entries for accuracy, completeness, proper coding, job costing, and timely submission in accordance with established payroll deadlines.
Prepare and support certified payroll reporting in compliance with federal, state, and local prevailing wage requirements.
Process weekly high-volume payroll and review union payroll requirements, including union deductions, fringe benefit contributions, dues, and reporting requirements.
Identify, research, and resolve payroll or timekeeping discrepancies, including missing punches, overtime, prevailing wage calculations, incorrect job or project coding, employee movement between projects, and payroll adjustments.
Serve as a payroll point of contact for branch employees and managers by responding to questions regarding pay, timekeeping, payroll deadlines, certified payroll, union payroll, pay statements, and year-end tax documents.
Communicate payroll deadlines, reporting requirements, and payroll expectations to field operations, branch leadership, regional finance partners, and centralized payroll teams.
Prepare and submit payroll corrections in accordance with company procedures, including coordination of payroll adjustments and overpayment recovery when necessary.
Support payroll processing for prevailing wage projects and ensure compliance with applicable federal, state, local, and contractual payroll requirements.
Maintain payroll records and documentation necessary to support audits, certified payroll reporting, and compliance reviews.
Support planning and communication for holiday payroll schedules and other non-standard payroll processing periods.
Maintain confidentiality and integrity of payroll information by following established internal controls, data governance practices, and company policies.
Participate in payroll-related projects, process improvements, cross-functional initiatives, and other duties as assigned.

Demonstrates strong organizational and time management skills while balancing multiple deadlines and competing priorities.

Education, Experience, and Skills Required

Minimum of 3–5 years of payroll experience, preferably in the construction, industrial services, or related industry.
Working knowledge of certified payroll requirements, prevailing wage regulations, and applicable federal, state, and local reporting requirements.
Working knowledge of union payroll practices, including union deductions, fringe benefit contributions, reporting requirements, and collective bargaining agreement payroll administration.
Experience reviewing employee time, resolving payroll discrepancies, and supporting payroll preparation for hourly employees.
Knowledge of payroll, timekeeping systems, overtime calculations, job costing, labor allocation, certified payroll, and union payroll practices.
Experience with construction payroll, project-based labor tracking, prevailing wage contracts, or multi-state payroll environments strongly preferred.
Proficiency in Microsoft Office applications, including Word, Excel, and Outlook; advanced Excel skills preferred.
Experience with payroll or timekeeping systems such as Paycor, TCR, TradeSeal, or similar platforms preferred.
Bachelor's Degree in Accounting, Business Administration, Finance, Human Resources, or a related field preferred; equivalent payroll experience will be considered.
Strong analytical, organizational, communication, and problem-solving skills with the ability to manage confidential information and meet strict payroll deadlines in a fast-paced environment.

Pay: $28.00 - $31.00 per hour
