Personal AssistantPosition Summary

We are seeking a reliable, professional, and highly organized Personal Assistant to provide comprehensive personal, administrative, and transportation support to one individual. This role combines personal assistance, clerical responsibilities, and local transportation to appointments, meetings, and errands using a company-provided vehicle. The ideal candidate is proactive, adaptable, trustworthy, and committed to maintaining the highest standards of professionalism, discretion, and confidentiality.

Work hours may vary depending on appointment schedules and business needs, so flexibility is essential.

Key Responsibilities

Provide safe and reliable transportation to appointments, meetings, and other scheduled destinations using a company-provided vehicle.
Complete personal and business-related errands as assigned.
Manage calendars, schedules, and appointment coordination.
Maintain proper relationships with potential clients as well as coordinate any needs clients may have.
Take accurate notes during meetings, appointments, and conversations.
Assist with dictation by recording, transcribing, and organizing notes, correspondence, and other documents.
Prepare letters, emails, reports, and other documents as requested.
Organize and maintain files, records, and important documents. May include some office management duties as needed.
Answer phone calls, relay messages, and communicate professionally with clients, vendors, healthcare providers, and other contacts.
Plan efficient travel routes to ensure timely arrivals.
Maintain the cleanliness, appearance, and basic upkeep of the company vehicle.
Monitor fuel levels and report maintenance or mechanical concerns promptly.
Assist with loading and unloading personal items as needed.
Coordinate appointments, reminders, and follow-up tasks.
Perform general administrative and clerical duties.
Complete other administrative, personal, and organizational duties as assigned.
Maintain a professional, courteous, respectful, and service-oriented demeanor at all times.

Qualifications

Valid driver's license with a clean driving record.
Excellent driving history and knowledge of local roads and traffic patterns.
Previous experience as a Personal Assistant, Executive Assistant, Administrative Assistant, Office Manager, or in a similar support role preferred.
Strong organizational and time management skills with exceptional attention to detail.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite, Google Workspace, and general office technology.
Ability to take accurate notes and perform dictation or transcription tasks.
Flexible availability; work hours may vary based on appointments, meetings, and transportation needs.
Outstanding punctuality and reliability—timeliness is a critical requirement for this position.
Ability to prioritize multiple tasks while remaining calm and professional.
Strong problem-solving skills and the ability to anticipate needs.

Confidentiality

This position requires the highest level of confidentiality. The Personal Assistant may have access to personal, medical, financial, legal, or other highly sensitive information. They may also overhear confidential conversations while accompanying the individual or assisting with daily activities.

Maintaining complete confidentiality is a condition of employment. Any information seen, heard, or learned during the course of employment must remain strictly private and confidential. A confidentiality agreement may be required as a condition of employment.

Physical Requirements

Ability to sit and drive for extended periods.
Ability to lift and carry up to 25 pounds occasionally.
Ability to enter and exit the vehicle multiple times throughout the day.
Ability to work at a computer for extended periods while completing administrative tasks.

Schedule

Primarily local, in-town travel.
Company vehicle provided for work-related transportation.
Hours will vary based on appointments, meetings, and business needs and may occasionally require early mornings, evenings, or schedule adjustments.
Flexibility, dependability, and responsiveness are essential.

Compensation

$23.00–$26.00 per hour, depending on qualifications and experience.
