Full Job Description

Receiving Clerk

Job Description:

The Receiving Clerk reports to the Stockroom Manager and is responsible for accurately and efficiently reviewing all articles, materials, and parts received by the FAA repair station. This includes parts to be stocked for installation or maintenance, articles received from customers for maintenance, and materials and supplies used by the company. The review includes inspection against purchase orders, repair orders, sales orders, and other internal and external data to ensure that the correct quantity, condition, shelf-life status, identification markings, and documentation is received. Manufacturer’s specifications, drawings, repair manuals, and other available documentation are used to confirm the item’s authenticity, configuration, and conformance to aviation quality standards.

Position Type:

This is a full-time position, paid hourly. This position is Monday - Friday 8am -5 pm with a possibility of overtime at our facility in Los Alamitos, CA.

Work Location:

The nature of this position requires work on site in Los Alamitos, CA

Duties/tasks include, but not limited to:

· Demonstrate familiarity and proficiency in:

o The documentation required for receipt of civil aviation articles

o The procedures as set forth in the Repair Station Quality Manual (RSQM), EASA Supplement, Forms Manual, and related policy and procedure manuals

o The English language

o The identification of suspected unapproved parts

· Perform the incoming review (receiving inspection) to identify, control, segregate and maintain all materials (including raw materials and parts) according to the manufacturer’s requirements and company policies and procedures

· Perform the receiving inspection of all incoming material, including data entry, documentation, and recordkeeping per established procedures

· Inspect all incoming parts and articles for damage from shipping and mishandling, ensuring data and pictures are collected, as required

· Immediately report to the Shipping and Receiving Manager all receiving inspection deficiencies, when found

· Complete the appropriate paperwork per the RSQM, Forms Manual, and company policies

· Inspect all incoming parts for adequate protection and preservation mechanisms such as safety caps, bags, ESD devices, etc., and add any devices needed to protect personnel or parts while at the repair station

· Accurately enter data into the Quantum Control software system, as required for the specific part or article, its condition, and disposition

· Ensure incoming parts, materials, equipment, and aviation articles are properly identified, in accordance with the RSQM

· Ensure all inventory, parts, and articles received are placed in the proper location and that the location data in Quantum is accurate while in the receiving area(s)

· Collect and file pictures and data electronically and place in the correct Quantum or LAN location

· Open Work Orders, inspecting customer purchase/repair orders for specific requests and ensuring they are reported electronically, as required

· Report all Suspected Unapproved Parts to the Shipping and Receiving Manager immediately

· Properly segregate, identify, and control non-conforming, expired, or Suspected Unapproved Parts

· Participate with process improvements, training, and SOP development, when requested

· Effectively update and maintain customer data using the Rolodex function in Quantum

· Communicate with customers and vendors regarding receiving status, deficiencies, and/or corrections, when required

· Organize, maintain, and/or dispose of product packaging and containers in accordance with company procedures

Goals and objectives:

Receiving Clerks at CGS are responsible for inspecting and recording the receipt of everything that arrives at the company. We make sure what we are seeing with our eyes matches what people see in the software system. We are the first to find and correct problems before they affect production and the quality system. Our job is to ask questions when things don’t seem right, get the answers from those that have the answer, and solve the problem so others upstream don’t have to.

Most importantly, we are the ones that collect the data the repair station uses to make maintenance and quality decisions and to prove that parts are correct when regulatory authorities ask.

This role is important because we directly affect aviation safety. Maintenance cannot be performed without parts, materials, and tools that meet aviation quality requirements and we are the ones that stop non-conforming parts from entering the system. We ensure that work in the shop continues uninterrupted by only allowing parts in that meet order requirements. We ensure aircraft passengers are safe by setting up Work Orders that report customer requests and information to the shop.

Success is defined by receiving all parts, materials, and articles the same day or as required for urgent orders. We will never lose a customer’s part or accidentally throw something out. All parts that go to the stockroom will be properly labeled, packaged, and organized. Inspectors, Technicians, and Supervisors will never need to question the data in the system. Pictures and trace information will be available every time we look for it. We will be able to perform the deferred receiver without any corrections and pay vendors on time. No Technician will ever accidently use a non-conforming part and we will never have a warranty from a part that failed visual inspection or didn’t have the right documents, after it was received.

We know we did a great job when the receiving shelves are empty, the stockroom doesn’t have to make modifications to inventory lines, and the shop relies on the data we entered in Quantum. The Preliminary Inspectors will only need to focus on the technical aspects of the Work Order and never the data entered during receiving. Customers will never have to call us for receiving status. When customers call asking if we received an item, the truthful answer will always be no if it’s not in Quantum.

Skills Required:

· Proficiency in ERP software and databases

· Demonstrated knowledge with standard apps in the Microsoft 365 suite

· Ability to effectively analyze, comprehend, and audit information on physical documents from inside and outside the organization

· Ability to use technology to collect data and investigate data sources, methods, and patterns

· Problem solving ability and effective troubleshooting skills

· Effective time management

· Satisfactory interpersonal communication skills to correct deficiencies within and outside the company

· Ability to lift bulky items and items up to 40 pounds, reposition frequently, and move about the facility
