Overview

Join our dynamic team as a Weekend Front Desk Associate, where your energetic and welcoming presence will set the tone for a positive experience for all visitors and clients. This role is perfect for someone who thrives in a fast-paced environment, possesses excellent organizational skills, and enjoys providing outstanding customer service. As the first point of contact, you will manage front desk operations during weekends, ensuring smooth communication, efficient office management, and a professional atmosphere. Your bilingual abilities and strong computer skills will be key to success in this vibrant role.

Duties

Greet visitors and clients warmly, providing exceptional customer support and assistance
Manage multi-line phone systems with professionalism, practicing excellent phone etiquette
Handle incoming calls, direct inquiries, and take detailed messages as needed
Perform clerical tasks including data entry, filing, proofreading, and document preparation using Word processing tools
Maintain organized office operations by managing calendars, scheduling appointments, and coordinating meetings
Support office management tasks such as inventory tracking, basic bookkeeping with QuickBooks, and record keeping
Assist with client communication and follow-up to ensure satisfaction and smooth workflow

Requirements

Bilingual proficiency in English and another language to effectively communicate with diverse clients and visitors
Prior office management or administrative experience in a professional setting
Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry skills
Excellent organizational skills with the ability to multitask efficiently under time constraints
Demonstrated customer service experience with professional phone reception skills and proper phone etiquette
Familiarity with multi-line phone systems and basic bookkeeping tools like QuickBooks is preferred
Strong typing speed, attention to detail for proofreading tasks, and effective time management skills
Personal assistant or front desk experience is advantageous but not required
