Job Overview
We are seeking a dynamic and highly organized Secretary to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth communication, efficient scheduling, and exceptional customer support. Your energetic approach and attention to detail will help create a welcoming environment for clients, visitors, and team members alike. The ideal candidate is proactive, tech-savvy, and thrives in a fast-paced setting. This paid position offers an exciting opportunity to develop your administrative skills while contributing to a professional and supportive workplace.

Responsibilities

Manage front desk duties, greeting visitors and clients with enthusiasm and professionalism
Operate multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
Maintain organized filing systems, both physical and digital, including data entry and document proofreading
Schedule appointments, meetings, and calendar management for staff members using Google Workspace or Microsoft Office tools
Provide exceptional customer service by addressing inquiries promptly and efficiently
Support office management tasks such as ordering supplies, managing office equipment, and coordinating mail services
Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed

Qualifications

Proven office experience with strong clerical skills and familiarity with office management procedures
Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently
Bilingual abilities are highly desirable to support diverse client needs SPANISH AND INGLES
Experience with data entry, filing, proofreading, and maintaining accurate records
Knowledge of multi-line phone systems, phone etiquette, and customer support best practices
Personal assistant or medical/dental receptionist experience is a plus but not required
Ability to handle confidential information discreetly with professionalism
