FSW’s Head Start/Early Head Start program, a federally funded initiative established in 1965, gives preschool children from low-income families a “head start” on school readiness, supporting their growth and development during these crucial early years.

JOB SUMMARY

Family Services of Westchester is seeking a Full-Time Program Coordinator for our Early Childhood Education Programs in Tarrytown, NY.

In this role, you will provide high-level administrative, operational, and programmatic support to the Senior Vice President (SVP) of Early Childhood Programs, helping ensure the smooth and effective functioning of the Early Childhood Department. The Program Coordinator plays a key role in coordinating Policy Council operations, governance activities, and department-wide initiatives. This position requires bilingual fluency and the ability to provide accurate translation and interpretation to ensure meaningful communication with families, staff, and stakeholders.

RESPONSIBILITIES

Provide direct administrative and project support to the SVP, including scheduling, meeting coordination, document preparation, and follow-up tracking.
Coordinate Policy Council functions, including agendas, meeting packets, minutes, sign-in sheets, approvals, and documentation.
Organize departmental meetings, training, and events across Head Start, Early Head Start, and partner programs.
Draft and format professional correspondence, reports, presentations, and program materials.
Maintain accurate and organized electronic and physical filing systems for governance and program records.
Support cross-department initiatives by tracking deadlines, action items, and deliverables.
Assist with special projects, data collection, and reporting as assigned.

COMMUNICATION

Serve as a key communication liaison between the SVP, Early Childhood leadership, site directors, and staff.
Communicate regularly with Policy Council members to ensure timely sharing of information and expectations.
Provide verbal interpretation during meetings, calls, and events.
Translate written documents (letters, policies, flyers, reports, and family-facing materials) between English and Spanish.
Ensure communication is culturally responsive, clear, and accessible to diverse families and stakeholders.

PLANNING

Assist in planning and coordinating monthly Policy Council meetings and governance activities.
Support planning of departmental calendars, leadership meetings, training, and events.
Track timelines, deadlines, and deliverables to support smooth program operations.
Anticipate needs of leadership and proactively prepare materials and logistics.

COMPLIANCE MANAGEMENT

Support documentation and recordkeeping related to Policy Council and governance in alignment with Head Start Program Performance Standards.
Ensure required meeting documentation (agendas, minutes, approvals, attendance) is complete and properly filed.
Maintain confidentiality of sensitive program, staff, and family information.
Support readiness for monitoring, audits, and internal reviews by ensuring accurate documentation is maintained.

QUALIFICATIONS

EDUCATION

Associate’s degree required; Bachelor’s degree preferred (Education, Human Services, Public Administration, or related field).
Bilingual fluency in English and Spanish required, with demonstrated ability to translate and interpret accurately.
Strong professional writing skills.
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and Google Workspace.

EXPERIENCE

Minimum of 2–3 years of experience in administrative, program coordination, or related support roles.
Experience working in early childhood education, Head Start, nonprofit, or human services preferred.
Experience supporting senior leadership and/or governance bodies preferred.
