Full Job Description

Overview

We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! This vital role combines essential bookkeeping responsibilities with administrative support to ensure smooth daily operations. The ideal candidate will be energetic, highly organized, and possess strong technical skills to manage financial records, handle client communications, and support office management tasks. This position offers an exciting opportunity to contribute to a thriving organization while developing your professional skills in a fast-paced environment.

Duties

Manage all aspects of bookkeeping using QuickBooks, including invoicing, expense tracking, bank reconciliations, and financial reporting
Maintain accurate and organized financial records through diligent data entry and file management
Assist with calendar management, scheduling appointments, and coordinating meetings for staff and clients
Prepare correspondence, reports, and documents using Microsoft Office Suite and Google Workspace productivity tools
Handle client communication via phone and email, providing excellent customer service and support
Perform clerical tasks such as filing, proofreading documents, and maintaining office supplies inventory

Requirements

Proven experience with bookkeeping software, especially QuickBooks
Strong computer literacy across Microsoft Office (Word, Excel) and Google Workspace applications
Excellent organizational skills with the ability to multitask effectively in a busy environment
Previous office or administrative experience, including front desk duties and data entry
Ability to manage multiple priorities with strong time management skills
Familiarity with multi-line phone systems and office management procedures
Demonstrated proficiency in typing, proofreading, filing, and maintaining accurate records
