Client Relations Associate

Our client is a growing financial services firm in the Oakbrook Terrace, IL area that is looking for a professional, organized, and client-focused Client Relations Associate to join their team.

This is a highly visible role where you will serve as one of the first points of contact for clients, prospects, and callers. You’ll be responsible for creating a warm, professional experience from the first interaction while helping manage a high volume of calls, coordinate communication, support the front desk, and keep the office running smoothly.

Our client is looking for someone who is professional, personable, organized, and comfortable working in a time-sensitive, high-volume environment. The ideal candidate enjoys interacting with people and can maintain a high level of service even when priorities are changing quickly.

What You’ll Do:

In this role, you will serve as an important part of the firm's Client Relations team. Responsibilities include:

Serving as an initial point of contact for clients, prospects, and other callers.
Answering and managing a high volume of incoming calls in a timely and professional manner.
Routing calls to the appropriate person or department and taking accurate messages when necessary.
Providing exceptional customer service and assisting callers with questions or needs.
Prioritizing urgent calls and ensuring inquiries are addressed appropriately.
Maintaining detailed and accurate records of incoming calls, messages, and outcomes.
Entering relevant information into the firm's CRM system.
Retrieving and managing voicemail messages and ensuring appropriate follow-up.
Providing administrative support to various departments, including data entry, filing, scanning, photocopying, and other general office tasks.
Serving as a backup to the front desk by warmly greeting and directing clients, guests, and employees.
Assisting with general questions about the company's products and services.
Serving as a knowledgeable and helpful resource for clients and callers.
Providing backup support for scheduling client and prospect appointments and meetings.
Managing calendars and communicating appointment changes or cancellations.
Working closely with the Client Relations team and Office Manager to ensure a seamless client experience.

Qualifications Include:

Prior experience in client relations, customer service, or a role focused on creating a strong client experience.
Exceptional phone skills and professional communication style.
Strong verbal and written communication skills.
Warm, welcoming, and outgoing personality.
Genuine, caring, client-first attitude.
Strong organizational skills and attention to detail.
Ability to manage multiple priorities in a time-sensitive environment.
Ability to adapt to changes without compromising the quality of work.
Experience with calendar and CRM management.
Proficiency with Microsoft Office Suite and the ability to learn new software quickly.
Comfortable working with phone systems, filing, faxing, scanners, and general office technology.
Professional appearance and demeanor.
Hospitality, concierge, or client service experience is preferred but not required.
Ability to work in person in Oakbrook Terrace, IL.

This is a full-time, in-person position based in Oakbrook Terrace, IL.
Monday – Thursday: 11:00 a.m. – 7:00 p.m.
Friday: 9:00 a.m. – 5:00 p.m.
