Overview

We are seeking an energetic and highly organized Receptionist to join our dynamic team! This vital role serves as the first point of contact for visitors, clients, and team members, ensuring a welcoming and professional environment. The ideal candidate will possess excellent communication skills, technical proficiency, and a passion for delivering outstanding customer service. In this role, you will manage front desk operations, handle administrative tasks, and support office management activities to keep our workplace running smoothly. This paid position offers an exciting opportunity to develop your administrative skills while contributing to a vibrant team atmosphere.

Responsibilities

Greet visitors and clients warmly, providing exceptional customer support and ensuring a positive first impression
Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
Handle data entry tasks accurately using spreadsheets, Microsoft Office, Google Workspace, and other productivity software
Maintain organized filing systems, including electronic documents and paper records, ensuring easy retrieval
Assist with appointment scheduling and calendar management for staff or medical/dental practitioners as needed
Support office management duties such as inventory tracking, supply ordering, and basic bookkeeping with QuickBooks or similar tools
Provide clerical support including proofreading documents, preparing correspondence, and managing front desk duties with professionalism
Registering patients, discharging patients, confirming insurance coverage, processing payments

Qualifications

Proven experience in office management or administrative roles with strong clerical skills
Excellent computer literacy with proficiency in Microsoft Office (Word, Excel), and data entry software
Strong organizational skills with the ability to multitask effectively in a fast-paced environment
Exceptional communication skills, both verbal and written; bilingual abilities are a plus
Experience with multi-line phone systems and phone etiquette is highly desirable
Prior experience in front desk roles in medical is advantageous
