Job Overview

We are seeking a detail-oriented and proactive Billing Clerk to join our dynamic administrative team. In this vital role, you will manage the billing processes, ensure accurate data entry, and provide exceptional customer service to clients and internal departments. Your expertise in office management and technical proficiency will help streamline financial operations, support organizational efficiency, and uphold the highest standards of accuracy and professionalism. This position offers an exciting opportunity to contribute to a fast-paced environment where your organizational skills and attention to detail will make a meaningful impact.

Responsibilities

Prepare, review, and process invoices using accounting software such as QuickBooks, ensuring timely and accurate billing.
Maintain organized records of all billing transactions, including filing and data entry tasks.
Communicate effectively with clients and internal teams via phone, email, or in person to resolve billing discrepancies or answer inquiries.
Manage multi-line phone systems to handle incoming calls professionally while directing messages or providing information as needed.
Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings.
Utilize Microsoft Office tools—including Word, Excel, and spreadsheets—to create reports, track billing data, and perform proofreading for accuracy.
Assist with clerical duties such as filing documents, managing office supplies, and supporting front desk operations to ensure smooth office workflow.

Requirements

Proven experience in office management or administrative roles with strong clerical skills.
Proficiency in QuickBooks accounting software and Microsoft Office productivity tools.
Excellent data entry skills with high accuracy and attention to detail.
Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
Exceptional communication skills for client interaction via phone communication and customer support.
Bilingual abilities are highly preferred to serve a diverse client base effectively.
Previous experience working with multi-line phone systems, front desk responsibilities, or personal assistant duties is advantageous.
Demonstrated computer literacy including familiarity with spreadsheets, word processing, proofreading, and technical proficiency in office equipment.
