Front Desk Medical Receptionist

The Front Desk Medical Receptionist is the first point of contact for patients and families at Children's Health Partners, S.C. This position is responsible for providing exceptional customer service while supporting the daily operations of the front office. Duties include patient registration, appointment scheduling, insurance verification, payment collection, electronic health record (EHR) documentation, patient communications, and administrative support. The Front Desk Medical Receptionist works closely with providers, nurses, and fellow staff members to ensure an efficient, welcoming, and patient-centered experience.

Essential Responsibilities

Patient Services

Greet patients and visitors professionally and courteously.
Perform patient check-in and check-out, including registration, demographic updates, insurance verification, payment collection, and scheduling follow-up appointments.
Manage patient flow and assist with late arrivals, walk-ins, and appointment changes.
Prepare patient paperwork and support efficient office workflow.

Scheduling & Communications

Schedule appointments using established office protocols.
Answer multi-line telephones, document messages, determine call urgency, and route calls appropriately.
Manage patient portal communications and complete assigned administrative tasks.
Communicate effectively with patients, families, providers, nurses, and other staff.

Administrative & EHR Responsibilities

Maintain accurate patient records within the EHR.
Process medical records, forms, referrals, incoming faxes, mail, and other office correspondence.
Prepare charts and documentation for upcoming appointments.
Complete daily work queues and assigned follow-up tasks.
Maintain proficiency with practice management software, EHR systems, and office technology.

Financial & Insurance Responsibilities

Verify insurance eligibility and update patient information.
Collect and accurately post patient payments.
Balance daily receipts and follow established financial procedures.

Office Operations

Perform opening and closing procedures.
Maintain knowledge of office policies, workflows, emergency procedures, and security protocols.
Restock supplies and maintain an organized work environment.

Exercise sound judgment, maintain confidentiality, and comply with all HIPAA, OSHA, and office policies.
Respect the diversity of all patients and families by providing compassionate, culturally sensitive care and honoring each patient's preferred name, pronouns, and gender identity.
Participate in staff meetings, required training, and quality improvement initiatives.
Use downtime productively and assist teammates to promote efficient office operations.

Qualifications

High school diploma or equivalent required.
Previous medical office experience preferred; pediatric experience is a plus.
Knowledge of medical terminology, insurance processes, and electronic health records preferred.
Strong communication, organizational, customer service, and computer skills.
Ability to multitask and work efficiently in a fast-paced environment.

Physical Requirements

Ability to sit, stand, and walk for extended periods.
Frequent use of computers, telephones, and office equipment.
Ability to occasionally lift up to 25 pounds.
