Full Job Description

Overview

Needed: an experienced Paralegal/Legal Assistant for a small Plaintiff's law firm specializing in Real estate law. The firm is a small team-oriented, collaborative environment with room for advancement. As such, this position would be well suited to a recent bar graduate or law student. What is paramount, though, is prior experience with all aspects of case management, drafting, filing and client liaison.

Duties

To proof, assemble and file pleadings such as complaints, Oppositions and Motions. Candidates MUST be familiar with California Judicial Council forms including Case Management Statements, Requests for Default, Dismissals, Civil Case Cover sheets, Proofs of service and should know their way around a Court and Department website to research an unfamiliar court's local rules or the specific requirements of a Department. If the candidate doesn't know how to file a particular pleading or form, they will be expected to pick up the phone and call the court, or contact the legal filing agency or a team member with experience. Guesswork won't work.
We expect our candidate to already know a fair amount but more importantly, we expect them to take the initiative and find an answer to their questions or a solution to their project.
Calendar and track ALL hearings and ensure that documents for those hearings are filed timely. Provide log in information and documents to the appropriate attorney for hearings.
Check the dockets of ALL active cases once a month and confirm that all hearings are calendared. Yes, we really do this. It's old school but there is no substitute for checks and balances by a human. It only takes about two hours and this is a throwback to touching a paper file once a month. It's kind of a pain but it avoids many unecessary errors and makes everyone's lives easier.
Excellent organizational skills. The candidate will keep their own lists and notes and should be up to speed on where we are in every case.
Initially the candidate will be closely supervised and will be provided with as much support or additional training as they need. Eventually, candidate will be expected to work with minimal supervision.
We file all over California and all courts have their idiosyncrasies. If you have had experience of adapting your filings (Think addendum fo L.A.S.C civil case cover sheet, searchable PDF's , Certificate of Counsel etc.) that would be great. If not, we will teach you and expect you to keep track of the requirements of each court.

Requirements

An indepth knowledge of legal filing agencies. We use One Legal.
Experience with Case software Management systems. We use Clio.
Exceptional written communication skills for correspondence and phones. If you think you're weak in writing, use AI or Spellcheck.
A fixed work schedule each day so that we can reach you for questions.
Knowledge and use of Microsoft word and Adobe or Nitro PDF

Summary

This may sound like a lot but if you have experience, you will see immediately that the job duties are a mix of busywork (monthly checking the dockets, weekly case management meetings by phone) and motion work and pleadings. What is essential is a good work ethic and a commitment to completing a task and a maturity to be able to reach out and ask for help if you can't. If you are well organized, structured and take pride in your work you can easily fit into our team. You can get to know our clients on a first name basis and share in the satisfaction when we achieve a good result for them.

If we interview you and you don't know how to do something on our list, say so. Like most firms we have had experience of people trying to wow us in interviews, thinking they can learn on the job. You can't. If you don't have the kind of experience we are looking for it won't end well for either of us.

On the other hand, if you check most of our boxes but are missing a particular area of expertise it may be that we can help you and focus on training and support in that area.
