Sierra Pines Church Office Manager Job Description
The Office Manager serves as a central hub of communication, administration, and hospitality
for Sierra Pines Church. This role supports the mission of the church by helping ministries, staff, volunteers, and congregation members experience a welcoming, organized, and
Christ-centered environment. The Office Manager plays a vital role in ensuring the daily
operations of the church are carried out with excellence, integrity, and servant-hearted
leadership.

Hospitality and Church Environment “Creating a Culture of Welcome”
The Office Manager is often one of the first points of contact for guests, volunteers, and church
members. This role helps cultivate a warm and welcoming environment through every
interaction, whether in person, by phone, or through written communication.
Responsibilities include:
● Greeting and assisting visitors, volunteers, and congregation members with warmth and
professionalism.
● Helping guests feel seen, valued, and connected to the life of the church.
● Maintaining awareness of the overall appearance and cleanliness of church facilities.
● Taking initiative to address minor organizational or facility needs when appropriate.
● Using available time wisely to serve the church through proactive support, organization,
and care for the church environment.
Administrative Operations
Supporting the Daily Function of the Church
● Maintain regular office hours and answer incoming phone calls and inquiries.
● Process incoming mail and distribute information appropriately.
● Maintain digital correspondence (email, facebook messenger, etc)
● Maintain church records and information systems, including Planning Center.
● Receive and communicate information from congregation members to the pastoral team.
● Assist with Sunday attendance tracking, reporting, and record keeping.
● Support tithe counting and financial tracking processes as assigned.
● Prepare correspondence, documents, forms, and church communications.
Staff and Ministry Support
Equipping Ministries for Success
● Attend staff meetings, record meeting notes, and distribute follow-up information.
● Coordinate ministry-related printing, ordering, and administrative requests.
● Support ministry leaders with resources, materials, and organizational needs.
● Assist with volunteer coordination and management of office support volunteers.
● Serve as a resource for ministry teams throughout the week and on Sunday mornings.
Events and Congregational Care
Supporting Meaningful Ministry Experiences
● Assist with the planning and coordination of church-wide events and special programs.
● Support weddings, funerals, and other congregational events through scheduling,
communication, and administrative preparation.
● Assist with event logistics and serve as a staff presence during major church events.
● Coordinate birthday acknowledgments and other congregation care initiatives.
Communication and Campus Coordination
Maintaining Excellence Across the Church Campus
● Manage church informational displays, promotional materials, and campus
communication boards.
● Support facility maintenance projects by coordinating communication and logistics.
● Assist with campus organization and ministry-related projects as needed.
● Collaborate with staff to ensure information is communicated clearly and effectively.
Creativity and Special Projects
Supporting Church Communication and Outreach
● Partner with the Creative Pastor on design projects utilizing Canva and other
communication tools.
● Assist with promotional materials, event communication, and ministry support projects.
● Support special initiatives led by pastoral staff and ministry leaders.
Confidentiality and Trust: Serving with Integrity
Because this role regularly handles sensitive information involving church members, volunteers, staff, and ministry operations, the Office Manager must exercise discretion, maintain confidentiality, and demonstrate sound judgment at all times. This position serves as a trusted and dependable member of the Sierra Pines Church staff team.
Reporting Structure
This position reports directly to the Lead Pastor and works closely with the Administrative
Pastor, Creative Pastor, Worship Pastor, ministry leaders, volunteers, and the congregation.
Schedule:
Monday-Wednesday: 9am-4pm
Thursdays: 9am-1pm
Sundays: 9am-12pm
