Full Job Description

Table Mountain Rancheria Public Works Department has an immediate opening for an Administrative Assistant. This is a full-time position with benefits. Candidate(s) selected for the position must be able to pass an extensive background check.

Job Summary:

This job assists with clerical duties within the Public Works department and records and executes administrative policies determined by or in conjunction with other officials.

Essential Duties and Responsibilities:

Maintains calendars for the Public Works Department
Screens and catalogs all incoming calls and correspondences
Provides clerical support to the Public Works Department by filing, scheduling appointments, processing orders and supplies, and purchase order requests
Receives and maintains office supplies
Prepares confidential correspondences, reports, and other complex documents

Education/Experience

One (1) year certificate from college or technical school unless otherwise waived by Tribal Council as based on determined experience and accomplishments.
Three (3) to six (6) months related experience as well as other relevant education or work experience

Knowledge, Skills, and Abilities

Knowledge of principles and process for providing customer and personal services
Knowledge of administrative and clerical procedures and systems
Knowledge of office technology such as copy machines, fax machines, and computers
Knowledge of Microsoft Office Suite
Ability to actively listen and take notes during phone calls, conversations, and meetings
Ability to discern the importance of messages, visitors, notifications and notifying the correct personnel
Skilled in office organization
Skilled in tracking the movement of office items
Skilled in writing and providing detailed explanations to questions, concerns, and policies

Other Requirements

California Class C Drivers license
Must have a clean driving record that is acceptable to Table Mountain Rancheria’s insurer
Must be able to maintain confidentiality of documents and records
