Terms: 12 Months, regularly 8 hours per day but workday may be greater based upon the needs of the system
Salary Range: $45,933 - $52,605 (Commensurate with education and experience)
Supervisor: Director of Elementary Education

Job Description:
The Secretary III provides high-level secretarial and administrative support to the Office of Elementary Education, ensuring efficient operations and compliance with applicable laws, regulations, and Board policies. This position requires advanced clerical and organizational skills, excellent communication abilities, and the capacity to manage sensitive information with discretion. The Secretary III serves as a central point of contact between the office, school administrators, staff, parents, and community partners.
Minimum Qualifications

Education/Experience:
-
Associate's degree in Secretarial Science or related field; or equivalent work experience as determined by the employer.

Five (5) years of exemplary clerical experience, including at least three (3) years providing administrative-level support.

Professional Requirements:

Successful completion of required criminal background, drug, and tuberculosis screenings.

Proof of U.S. citizenship or legal residency.

Demonstrated history of professionalism, strong work ethic, and confidentiality.

Skills and Abilities:

Excellent written, verbal, organizational, and interpersonal skills.

Proficiency with Microsoft Office Suite (Excel), Google Workspace (Docs, Sheets, Forms, and Drive), and office technology.

Ability to manage sensitive and confidential information.

Strong time-management and multitasking skills while meeting strict deadlines.

Ability to work independently and collaboratively under pressure.

Physical/Other Requirements:

Ability to lift moderately heavy objects (2550 lbs.), and perform standard physical activities related to office duties.

Preferred Qualifications

Bachelor's degree or higher in Secretarial Science, Business Administration, or related field.

In-depth knowledge of public school systems, Board of Education policies, and administrative procedures.

Experience with PowerSchool, Tyler Munis, digital records management, and website updating.

Familiarity with grant reconciliation, program monitoring, and financial procedures.

Key Duties and Responsibilities
General Support

Perform confidential secretarial and administrative duties to support daily operations of the office.

Answer phones, greet visitors, and serve as a central point of contact for staff, families, vendors, and the public.

Maintain records, organize files (electronic and hard copy), generate reports, and manage office supplies and equipment.

Assist in payroll processing, accounts payable functions, reimbursement processing, and internal auditing.
-
Coordinate scheduling, meeting logistics, communications, and systemwide calendars.
-
Maintain records and provide support for Pre-K and Kindergarten registration and enrollment.
-
Process incoming mail and correspondence for the central office.
Grants and Financial Monitoring
-
Support the management of school-based and central office accounts payable.
-
Assist with monitoring, verifying, and reconciling budgets across multiple grants and programs (e.g., Title I, Judy Center, etc.)
-
Maintain accuracy of purchase orders, billing, vouchers, and financial coding.
Title I, Part A Responsibilities
In addition to the responsibilities above, the Secretary III plays a critical role in ensuring compliance and operational efficiency for the Title I program:

Monitor and track all Title I, Part A budgets and expenditures in alignment with federal, state, and local requirements.

Assist in the preparation, collection, and electronic organization of materials required for the Title I grant application.

Collect, organize, and maintain documentation for annual Title I compliance reviews, including electronic and paper assurance files.

Track and verify monthly, quarterly, and semi-annual timekeeping records related to Title I staff expenditures.

Assist in ordering and distributing supplies and services funded by Title I.
-
Provide guidance and support to elementary principals, school-based secretaries, and program staff on accounts payable procedures, budget usage, and program compliance requirements.

Maintain accurate reporting for Title I-funded activities, ensuring readiness for monitoring, audits, and reporting deadlines.

Attend Parent Engagement and Title I Parent Panel meetings; compile, organize, and maintain SANE (Sign-In, Agenda, Notes, and Evaluation) documentation.

Uphold confidentiality and security of Title I program documents, budgets, and compliance data.
Program and Event Support

Assist with planning and implementing initiatives such as Pre-K and Kindergarten registration.

Provide administrative support for Parent Engagement and Title I Liaison meetings.

Contribute to the coordination of school system programs, including Judy Center programs, Head Start partnerships, etc.

Support committee meetings and professional development logistics.
