Job Overview
We are seeking a dynamic, highly organized, and experienced Dental Office Manager to join our small, fast-paced dental practice. This is a hands-on leadership position that plays an important role in keeping the practice running smoothly while supporting the doctor, clinical team, front office, and patients.
Because we are a small practice, our Office Manager is an integral part of the team and must be comfortable wearing many hats. This position goes beyond traditional office management and offers the opportunity to be involved in many aspects of the practice, from administrative and financial responsibilities to patient care coordination, treatment presentation, and front-office support.
The ideal candidate will have 2–5 years of Dental Office Manager experience and 5+ years of overall dental experience, with a strong understanding of dental office operations, patient accounts, insurance processes, treatment coordination, and front-office responsibilities.

Duties
- Oversee daily practice operations by coordinating administrative workflows, supporting the doctor and team, and helping ensure the office runs smoothly and efficiently.
- Lead and support the front-office team, serving as a second set of hands for scheduling, phones, patient check-in/check-out, and other front-desk responsibilities as needed.
- Manage administrative and financial responsibilities, including payroll, office bills, vendor payments, supply ordering, and maintaining appropriate office inventory.
- Collaborate with the front-office team on dental insurance, including claim submissions, attachments, follow-up, denials, appeals, insurance aging, and resolving outstanding or delayed claims.
- Assist with patient account management, including account audits, reviewing ledgers, resolving discrepancies, assisting with collections, and helping ensure accurate patient balances.
- Support treatment planning and case presentation by discussing recommended treatment, financial arrangements, insurance considerations, and scheduling with patients.
- Build strong patient relationships by providing professional, compassionate service and helping patients feel informed and comfortable throughout their experience.
- Work closely with the doctor and clinical team to coordinate patient care, treatment scheduling, and overall practice needs.
- Support team development and office procedures by helping maintain efficient workflows, assisting with training, and contributing to a positive team environment.
- Take initiative and wear many hats in a small-practice setting, stepping in wherever needed and helping the team solve problems and keep the day running smoothly.
Qualifications
- 2–5 years of experience as a Dental Office Manager
- 5+ years of overall dental experience
- Strong understanding of dental office operations and front-office procedures
- Experience with dental insurance processes, claims, attachments, denials, appeals, and insurance aging
- Experience with patient account management and account audits
- Experience with payroll, accounts payable, vendor payments, and general office administration
- Experience with treatment planning and presenting treatment to patients
- Excellent communication and patient service skills
- Strong organizational and time-management skills with the ability to prioritize in a fast-paced environment
- Strong computer skills and the ability to learn and utilize dental practice management software
- Excellent written and verbal communication skills
- Professional and confident when communicating with patients, team members, insurance companies, and vendors
- Strong leadership, problem-solving, and decision-making skills
- Ability to work independently while also functioning effectively as part of a team
- Must be comfortable in a small-practice environment where responsibilities are shared and everyone contributes
- Dependable, proactive, detail-oriented, and willing to step in and assist wherever needed
- Bilingual abilities are a plus
