ESI is now hiring a Clinical Secretary in the Ocala, FL area.

POSITION SUMMARY:

ESI is seeking a Clinical Secretary who will serve as the primary receptionist and administrative support for a Private Pay Home Health Agency. Reporting directly to the Administrator, this position is responsible for greeting visitors, answering and routing incoming calls, assisting the clinical team with new patient intakes, maintaining accurate patient documentation, and providing general office support. The Clinical Secretary handles confidential patient and organizational information and is expected to maintain strict compliance with HIPAA and agency confidentiality policies. This is a non-exempt, hourly administrative position with no supervisory responsibilities.

QUALIFICATIONS:

High school diploma or equivalent required; Associate of Arts (AA) degree in Medical Assisting or related healthcare field preferred.
National Medical Assistant certification (CMA or RMA) highly preferred.
Minimum two (2) years of medical receptionist, clinical secretary, or healthcare administrative experience preferred.
Proficiency using Apple computers and Microsoft Office applications, including Outlook and Teams, with the ability to learn agency-specific software systems, including electronic medical records (EMR).
Strong organizational skills with excellent attention to detail and the ability to prioritize multiple tasks.
Excellent verbal and written communication skills in English, including professional telephone etiquette.
Ability to maintain confidentiality and comply with HIPAA requirements.
Positive attitude with exceptional customer service and interpersonal skills.
Have a clear background screening as required by our client.
Be free from health problems that may be injurious to patient, self, and co-workers and must present appropriate evidence to substantiate this.
Ability to walk, stand, stoop, bend, push a cart, or lift during the entire shift.
Ability to lift up to 25 pounds, including office supplies and small packages.

DUTIES AND RESPONSIBILITIES:

Serve as the primary receptionist by professionally answering multi-line phones, routing calls, taking messages, greeting visitors, and maintaining a welcoming office environment.
Assist the clinical team with new patient intakes by collecting required documentation, verifying information, and preparing admission paperwork.
Maintain accurate patient records by scanning, filing, and organizing clinical documentation in accordance with agency policies and HIPAA regulations.
Assist clinicians and administrative staff with general office duties including copying, faxing, mailing, and document preparation.
Coordinate communication between patients, families, referral sources, physicians' offices, and agency staff.
Process incoming and outgoing mail and distribute correspondence appropriately.
Maintain office supplies and notify the Administrator when replenishment is needed.
Schedule appointments, meetings, and other administrative activities as assigned.
Assist with data entry and maintain accurate electronic and paper filing systems.
Support the Administrator and clinical team with day-to-day administrative tasks and special projects.
Participate in agency meetings and assist with administrative preparation for surveys, audits, and accreditation activities as directed.
Perform other duties as may be assigned by the Administrator or designee.
