We are looking for a Permit Coordinator / Installation Coordinator who plays a critical role in ensuring every job flows smoothly from sale to installation—without delays, mistakes, or compliance issues.

Position Overview
The Permit Coordinator / Installation Coordinator is responsible for managing all post-sale administrative and operational coordination for HVAC and electrical installations.
This includes permit submission, job verification, scheduling coordination, inspection tracking, and communication between departments and customers.
You are the bridge between sales, field teams, and customers, ensuring that every job is properly permitted, scheduled, and completed without issues.
Key Responsibilities
- Submit all HVAC and electrical permits within 24 hours of job sale
- Review sold jobs for accuracy, completeness, and code compliance
- Verify equipment, scope of work, and job details before submission
- Coordinate installation scheduling with dispatch and field teams
- Track permit approvals, rejections, and revisions
- Schedule and manage all required inspections
- Ensure all jobs meet local building code and compliance requirements
- Maintain accurate and complete job files in ServiceTitan
- Communicate with customers regarding scheduling and expectations
- Coordinate with Project Managers, technicians, and office staff
- Identify and resolve issues before they impact installation timelines
What Success Looks Like
- Permits submitted accurately and on time (within 24 hours)
- Zero missed or delayed inspections
- Install schedules run smoothly with minimal downtime
- No job delays due to administrative errors
- Clean, organized, and complete job files
- Strong communication across all departments
Qualifications
- Experience in HVAC, Electrical, Construction, or Permitting (preferred)
- Strong organizational and time management skills
- High attention to detail and accuracy
- Ability to manage multiple jobs at once without dropping the ball
- Strong communication skills (phone, text, and email)
- Experience with ServiceTitan is a plus
- Ability to work in a fast-paced, high-performance environment
- Problem solver with a proactive mindset
