Full Job Description

Foundation Escrow is currently seeking a experienced Escrow Officer Assistants for our Carlsbad Branch office with 2+ years of experience required or more.

Pay: $23.00 - $28.00 per hour

Foundation Escrow is an independent escrow company specializing in providing seamless escrow services for residential real estate transactions. We support Realtors and Mortgage Professionals by facilitating smooth closings and offering valuable business development resources to help them grow their client base.

Position Overview

The Escrow Assistant will play a critical role in coordinating files, managing documentation, communicating with clients and stakeholders, and ensuring transactions progress smoothly from opening to closing. The ideal candidate will come with exp in SoftPro and GreenFolders.

This position requires someone who is detail-oriented, proactive, highly organized, and comfortable working in a fast-paced, high-volume environment involving sophisticated escrow structures and unique transactions.

Key Responsibilities

Escrow Transaction Support

· Assist with opening new escrow files and preparing escrow instructions

· Order title, payoff demands, insurance, and required documentation

· Review incoming documents for completeness and accuracy

· Prepare estimated settlement statements and closing packages

· Coordinate file progression from opening through closing

Client & Partner Communication

· Serve as a primary point of contact for clients, real estate agents, lenders, attorneys, and investors

· Provide status updates on escrow transactions

· Assist with scheduling signings and coordinating document delivery

Transaction Coordination

· Track critical escrow timelines and deadlines

· Maintain file compliance with regulatory and internal requirements

· Assist with managing specialty and non-traditional transactions

Administrative & Operational Support

· Manage escrow documentation and digital file organization

· Assist with escrow accounting support and disbursement coordination

· Maintain CRM and transaction tracking systems

Qualifications Required

· 2+ years escrow assistant or escrow support experience

· Strong understanding of escrow process and documentation

· Excellent organizational and multitasking skills

· Strong communication and client service abilities

· High attention to detail and accuracy

· Ability to manage multiple transactions simultaneously
