Part-Time Office Administrator / Construction Administrative Assistant

Keystone Construction Contractors, LLC is a locally owned and operated licensed General Contractor serving the Tampa Bay area. We specialize in custom homes, residential remodeling, additions, and commercial construction.

As our company continues to grow, we are looking for a dependable, organized, and motivated Part-Time Office Administrator to join our team. This position offers a flexible work schedule and has the opportunity to grow into a full-time career as our company expands.

Position Details

Part-Time
Flexible schedule (approximately 10–30 hours per week)
Opportunity to transition into a full-time position
In-office position located in Odessa, FL
Competitive hourly pay based on experience

Responsibilities

Answer incoming phone calls and greet clients, vendors, and subcontractors professionally.
Manage calendars, appointments, and office scheduling.
Assist with preparing contracts, proposals, change orders, and construction documents.
Organize and maintain project files, both digital and paper.
Coordinate electronic signatures through DocuSign.
Assist with bookkeeping, invoicing, accounts payable, and accounts receivable.
Update project information and schedules in Buildertrend.
Communicate with clients, architects, engineers, vendors, and subcontractors.
Track permits and assist with general office administration.
Maintain office organization and order supplies as needed.
Support company leadership with administrative tasks and special projects.

Preferred Qualifications

Previous office administrative experience required.
Construction office experience is a plus.
Bookkeeping experience is a plus.
Experience with Buildertrend is a plus.
Experience with QuickBooks is a plus.
Experience with Microsoft Office 365 (Word, Excel, Outlook, Teams).
Experience using DocuSign or similar software.
Excellent communication and customer service skills.
Strong organizational skills with the ability to manage multiple tasks.
High attention to detail and professionalism.
Bilingual (English/Spanish) is a plus.
