Full Job Description

We are seeking a dependable, organized, and detail-oriented Administrative Assistant to join our team. This position supports the daily operations of our office by managing accounts payable, administrative duties, fleet and asset records, DOT compliance, and general office support.

The ideal candidate will have excellent communication and organizational skills, be able to multitask in a fast-paced environment, and have experience working with QuickBooks and Microsoft Office. Experience in the oil & gas industry is a plus.

Administrative Duties

Provide administrative support to management and office staff
Answer phones, greet visitors, and provide excellent customer service
Prepare correspondence, reports, letters, forms, and other documents
Develop and maintain organized electronic and paper filing systems
Order office supplies and maintain office inventory
Perform general office duties and assist with special projects as assigned

Accounts Payable

Process vendor invoices and manage the Accounts Payable process
Match invoices to purchase orders and receiving documentation
Maintain vendor records and assist with vendor communications
Ensure invoices are entered accurately and paid on time
Assist with maintaining organized AP records

Operations & Compliance

Create, issue, and track Purchase Orders (POs)
Monitor and maintain company asset and equipment records
Utilize Geoforce GPS to monitor company vehicles and equipment
Assist with DOT compliance by maintaining driver qualification files, vehicle registrations, permits, and other required documentation
Assist with employee onboarding, personnel files, and other HR-related administrative tasks

Qualifications

Previous administrative assistant or office administration experience preferred
Experience processing Accounts Payable
Working knowledge of Purchase Orders and vendor invoice processing
Proficiency with QuickBooks (QuickBooks Online preferred)
Strong knowledge of Microsoft Office, including Excel, Word, and Outlook
Experience with Geoforce GPS or similar fleet management software is preferred
Knowledge of DOT regulations and compliance is highly preferred
Excellent organizational, time management, and multitasking skills
Strong attention to detail and accuracy
Excellent written and verbal communication skills
Ability to maintain confidentiality and work independently

Preferred Qualifications

Experience in the oil & gas or energy services industry
Experience with HR administrative functions
Familiarity with company asset management and fleet operations

Education

High school diploma or GED required
Additional education in Business Administration or a related field is a plus
