Full Job Description

Job Title: Accounts Payable & Accounts Receivable Specialist

Position Summary

We are seeking a detail-oriented and dependable Accounts Payable & Accounts Receivable Specialist to join our accounting team. This full-time position is responsible for managing the day-to-day processing of vendor invoices, customer billing, collections, cash receipts, and related accounting functions. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a commitment to maintainingaccurate financial records while providing exceptional service to both internal and external stakeholders.

Key Responsibilities

Accounts Payable

Process vendor invoices accurately and in a timely manner.
Match invoices to purchase orders and receiving documentation when applicable.
Verify coding and obtain appropriate approvals before payment.
Prepare and process weekly check runs, ACH payments, and wire transfers.
Maintain vendor files, including W-9s and payment information.
Respond to vendor inquiries and resolve payment discrepancies.
Reconcile vendor statements and investigate outstanding items.
Monitor payment terms to maximize available discounts and avoid late fees.
Assist with annual 1099 preparation and reporting.

Accounts Receivable

Generate and distribute customer invoices.
Apply customer payments accurately to open invoices.
Monitor aging reports and follow up on past-due accounts.
Communicate professionally with customers regarding payment status.
Resolve billing discrepancies and customer account issues.
Prepare customer account reconciliations as needed.
Process credit memos and account adjustments with appropriate approval.
Maintain accurate customer account records.

General Accounting

Assist with month-end and year-end closing activities.
Maintain organized electronic and physical accounting records.
Assist with financial audits by providing requested documentation.
Support accounting projects and process improvement initiatives.
Ensure compliance with company policies and accounting procedures.
Perform other accounting and administrative duties as assigned.

Qualifications

Required

Associate’s degree in Accounting, Finance, Business, or equivalent work experience.
2+ years of Accounts Payable, Accounts Receivable, or general accounting experience.
Strong understanding of accounting principles and financial processes.
Proficiency in Microsoft Excel and Microsoft Office.
Experience using accounting or ERP software.
Excellent attention to detail and accuracy.
Strong organizational and time-management skills.
Effective written and verbal communication skills.
Ability to prioritize multiple tasks and meet deadlines.

Preferred

Bachelor’s degree in Accounting or Finance.
Experience with ERP systems such as NetSuite, SAP, Microsoft Dynamics, or similar.
Experience in the oil & gas, manufacturing, distribution, or service industries.
Knowledge of ACH, wire transfers, and electronic payment platforms.
Experience preparing 1099s and assisting with audits.
