Practice Operations Manager

Job Overview

We are seeking an experienced, highly organized, and people-centered Practice Operations Manager to oversee the day-to-day operations of our growing mental health group practice. Supporting the clinical and administrative teams, this role is responsible for ensuring that systems, people, processes, and operations run efficiently and align with the practice's mission, values, and commitment to high-quality client care.

The ideal candidate is a proactive problem-solver who can balance operational leadership, staff support, accountability, and continuous improvement in a fast-paced healthcare environment.

Key Responsibilities:

Operations & Practice Management

Oversee daily practice operations and ensure efficient workflows across clinical and administrative functions.
Develop, implement, and improve operational systems, policies, and procedures.
Oversee client scheduling, client flow, referrals, intake processes, cancellations, and overall practice capacity.
Identify operational challenges and implement practical solutions.
Support practice growth, scalability, and strategic initiatives.

Team Leadership & Staff Support

Provide leadership, supervision, and accountability to administrative and operational staff.
Establish clear expectations, workflows, and communication systems.
Foster a collaborative, professional, and supportive workplace culture.
Address operational concerns and escalate clinical, ethical, or high-risk matters to practice owner and appropriate leadership.

Human Resources & Compliance Support

Oversee coordination of employment documentation, onboarding processes, personnel records, and required operational training.
Support clinician onboarding, offboarding, and operational orientation in collaboration with leadership.
Support compliance with practice policies, confidentiality requirements, HIPAA, and applicable employment and healthcare regulations.
Maintain systems for tracking licenses, credentials, trainings, and required documentation, as applicable.
Partner with leadership on performance concerns, staff development, and operational accountability.

Financial & Administrative Oversight

Monitor operational metrics, including space and clinician capacity, caseloads, referrals, scheduling efficiency, cancellations, and retention.
Oversee billing and administrative processes in collaboration with designated billing or financial personnel.
Oversee payroll-related processes, contractor or employee documentation, and expense monitoring as assigned.
Track operational KPIs and provide regular reports to the practice owner/executive director.

Technology, Facilities & Vendor Management

Oversee practice management systems, technology workflows, office operations, and administrative infrastructure.
Coordinate relationships with vendors, service providers, and external partners as appropriate.
Ensure offices, equipment, supplies, and systems adequately support staff and client needs.
Identify opportunities to improve efficiency through technology and automation.

Qualifications

Bachelor's degree in Business, Healthcare Administration, Human Resources, Management, or a related field preferred.
3+ years of operations, office management, healthcare administration, or leadership experience.
Experience in a mental health, healthcare, or professional services environment is strongly preferred.
Experience leading and supporting teams.
Strong organizational, communication, and problem-solving skills.
Ability to manage multiple priorities and create structure in a growing organization.
Familiarity with HIPAA and healthcare confidentiality requirements preferred.
Experience with practice management systems, HR platforms, scheduling, billing, or operational reporting strongly preferred.

Clinician capacity, referral flow, and scheduling metrics are regularly monitored.
Staff concerns and operational issues are addressed promptly and effectively.
Required licenses, documentation, training, and compliance items are appropriately tracked.
Key operational reports and KPIs are provided consistently to leadership.
Employee and clinician onboarding experiences are organized, efficient, and timely.
Practice operations support sustainable growth and high-quality client care.

Compensation

Salary Range: $60-$80K annually, commensurate with experience.
