Full Job Description

JOB Project Coordinator
EXAMPLE OF DUTIES Under administrative direction, is responsible for planning and adminstering a specific project or program for a City department. Serves as the administrative supervisor on projects or programs. Plans, assigns, supervises, and reviews activities of subordinate personnel. Monitors the project or program's operating budget and assists in the annual preparation of same. Designs, implements, and monitors procedures utilized in program evaluation. Develops and secures commitments from other City departments and agencies to provide services to program participants. Provides technical assistance or reviews program policies and procedures. Maintains current information and oversees the preparation of project status reports. Prepares financial and narrative reports and program applications. Communicates project/program status and information to municipal officials and/or public and private entities. May supervise employees assigned to the respective project. Performs other related duties as required. SUPPLEMENTAL INFORMATION

Additional duties:

Administrative and Executive Support

Provide scheduling, calendar management, and administrative support to the Assistant Director of Public Works.
Coordinate meetings, prepare agendas, record meeting notes, and track follow-up actions.
Prepare reports, briefing materials, presentations, correspondence, and other documents for departmental leadership.
Represent the Assistant Director at meetings and events as assigned, providing updates and follow-through on action items.
Assist with constituent inquiries, council correspondence, and requests from residents, elected officials, and other stakeholders.
Perform general office and organizational support functions.

Project Coordination and Program Support

Assist with the planning, coordination, implementation, and monitoring of departmental projects, programs, and initiatives.
Track project schedules, milestones, deliverables, and deadlines to ensure timely completion of assignments.
Coordinate activities between Public Works divisions and other City departments to support project execution.
Prepare project status reports and maintain current information regarding departmental initiatives.
Assist in developing schedules, timelines, and project documentation.
Support the implementation of operational improvements, strategic initiatives, and special projects identified by department leadership.
Conduct research, gather data, and prepare analyses to support policy development and operational decision-making.

Departmental and Interdepartmental Coordination

Collaborate with division leadership to identify operational needs, monitor progress on initiatives, and facilitate communication between divisions.
Work closely with Human Resources, Payroll, Finance, Civil Service, Procurement, and other City departments to support departmental operations.
Assist with the coordination of resources, services, and support needed to accomplish departmental objectives.
Support ongoing operational and project needs related to Vacant Properties and other Public Works functions.

The ideal candidate will demonstrate the ability to:

Build and maintain positive working relationships with division leadership, City departments, elected officials, residents, contractors, and external stakeholders.
Exercise sound judgment, critical thinking, and problem-solving skills when addressing operational and project-related challenges.
Manage multiple assignments simultaneously while meeting deadlines in a fast-paced environment.
Communicate effectively through written, verbal, and presentation formats.
Analyze information, develop recommendations, and support data-driven decision-making.
Work independently while maintaining a high level of professionalism, discretion, and accountability.
Adapt to changing priorities and departmental needs.
Perform other related duties as assigned.
