The Orientation Facilitator is responsible for delivering a positive, engaging, and informative onboarding experience for newly hired associates. This role facilitates new hire orientation sessions, ensures completion of onboarding requirements, and helps associates successfully transition into the company. The facilitator serves as a key ambassador of the company’s culture, values, safety expectations, and workplace standards while collaborating closely with Human Resources, Operations, EHS, Security, and departmental leaders.

Essential Duties and Responsibilities:

Orientation Facilitation

Administer HR led new hire orientation sessions for hourly and salaried associates (2 days per week)
Coordinate and monitor 2 days of EHS orientation delivered by the Safety Division
Present company history and organizational structure
Coordinate schedules with HR presenters who will cover company culture, values, HR policies, workplace expectations, and total rewards
Deliver engaging presentations and break-out sessions utilizing various training methods.
Answer associate questions and provide guidance regarding onboarding processes.

Onboarding Administration

Verify completion of required onboarding documentation and training records.
Maintain orientation attendance rosters and participant records.
Assist with completion of employment-related forms and onboarding requirements.
Coordinate facility tours and introductions to key departments and team members.
Prepare and distribute required materials, badges, and onboarding resources.

Collaboration and Communication

Partner with HR, Operations, Security, IT, Finance and Safety teams to coordinate onboarding activities.
Communicate orientation schedules and participant information to stakeholders.
Provide feedback regarding onboarding effectiveness and associate experiences.
Escalate concerns, questions, or issues requiring management attention.

Administrative Support

Assist the Talent Management Team Lead with preparation, tracking, and submission of departmental budgets, invoices, expense documentation and other special projects as assigned.
Support the metric collection, organization, and delivery related to recruitment, onboarding and training
Prepare meeting materials, spreadsheets, and other administrative documents as needed.
Coordinate schedules, meetings, training sessions, and onboarding events to support Talent Management initiatives.
Maintain accurate records and filing systems in compliance with company policies and audit requirements.
Support data entry and reporting activities within HRIS, learning management systems, and other Talent Management platforms.
Perform other administrative and Talent Management-related duties as requested by the Talent Management Team Lead.

Continuous Improvement

Gather associate feedback regarding orientation and onboarding programs.
Recommend improvements to orientation content, materials, and delivery methods.
Support updates to orientation presentations, training materials, and onboarding documentation.
Assist with tracking onboarding effectiveness metrics and reporting.

Compliance and Safety

Ensure compliance with company policies, employment regulations, and onboarding requirements.
Reinforce safety expectations and workplace procedures during orientation.
Maintain confidentiality of associate and company information.
Support audit readiness related to onboarding records and training documentation.
