Job Summary

We are seeking a dynamic and friendly Front Desk Agent to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and ensure smooth administrative workflows. Your energetic approach and organizational skills will help create a positive first impression for visitors, clients, and team members alike. Duties

Greet visitors, clients, and vendors warmly, ensuring they feel welcomed and attended to promptly
Manage multi-line phone systems to handle incoming calls efficiently, directing inquiries to appropriate departments
Maintain accurate records through data entry, filing, and updating spreadsheets using productivity software such as Microsoft Office and QuickBooks
Assist with office management tasks including scheduling appointments, managing supplies, and coordinating meetings
Support client communication efforts by providing clear information and addressing questions with professionalism
Perform clerical duties such as proofreading documents, word processing, and maintaining organized files
Handle administrative support tasks including typing reports, managing correspondence, and supporting team members with personal assistant responsibilities

Requirements

Proven experience in office management or administrative roles with strong clerical skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry processes
Technical proficiency with computer literacy and experience using productivity software like QuickBooks is highly desirable
Excellent phone etiquette and ability to operate multi-line phone systems efficiently
Bilingual abilities are a plus to effectively communicate with diverse clients and team members
Strong organizational skills with the ability to prioritize tasks and manage time effectively
Previous front desk or customer service experience demonstrating professionalism and positive client interactions
Demonstrated computer skills including typing speed, proofreading accuracy, and familiarity with filing systems
Experience in office support roles such as personal assistant or clerical work is preferred
