Administrative Assistant to the Leadership Team

Position Title: AdministrativeAssistant to the Leadership Team

Reports to: Operations Director

Location: On-site, Krishnamurti Center, Ojai, California

Status: Hourly, non-exempt, full-time

Organizational Context

The Krishnamurti Foundation of America (KFA) is a nonprofit trust founded in 1969 by J. Krishnamurti and his associates. The KFA's mission is the preservation and dissemination of Krishnamurti's teachings and the support of the Center and Oak Grove School.

The Krishnamurti Center is located on 10 acres in Ojai, California, and exists to advance public understanding and realization of human potential through the study of Krishnamurti's teachings. This is accomplished by:

Disseminating the teachings to broad and new audiences, nationally and internationally.
Supporting publication and digital distribution of talks, writings, audio, and video.
Offering dialogues, study programs, retreats, lectures, and seminars, both in person and online.
Providing facilities for sustained study, including residential opportunities for scholars and participants.

The Center hosts year-round programming, including the Annual Gathering, study retreats, dialogues, online offerings, and residential scholar initiatives.

Role Purpose

The Administrative Assistant to the Executive Team provides coordinated administrative and operational support to the Executive Director, Operations Director, and Center Director. This role serves as a central hub for daily logistics, communications, and cross-functional coordination, enabling senior leadership to focus on strategic priorities.

The position requires strong organizational capacity, sound judgment, discretion with confidential information, and the ability to manage multiple priorities in a dynamic, mission-driven environment.

The Administrative Assistant approaches their work with care, clarity, and responsiveness, contributing to a culture aligned with the values of attention, responsibility, and thoughtful collaboration that underpin the Foundation’s work.

Key Outcomes (First 12–18 Months)

Administrative systems supporting the Executive Team are organized, reliable, and consistently maintained.
Senior leadership has dependable support for scheduling, communications, and logistics.
Core operational processes, including mail, donations, and supply management, run smoothly and accurately.
Administrative coordination for the Resident Scholar Program is well-managed and responsive.
The role serves as a trusted, proactive point of coordination across departments.
Provide retreat reception or operational coverage as needed, may include occasional weekends.

Key Responsibilities1. Executive Team Support

Manage calendars for the Executive Director, Operations Director, and Center Director.
Prepare correspondence, reports, and presentations as needed.
Handle sensitive and confidential information with discretion and professionalism.

2. Board Liaison Support

Coordinate travel and logistics for board members and leadership staff.
Prepare and distribute board materials and packets.
Attend board meetings and take notes as needed.
Support board committee coordination.

3. Office Administration

Manage incoming mail and packages, including sorting, scanning, and distribution.
Maintain office and campus supply inventories.
Provide front desk and on-site support for visitors and contractors.
Coordinate office equipment maintenance and repairs.
Maintain facilities-related administrative records.

4. Communications Coordination

Monitor and respond to the main office phone line and shared inbox.
Route inquiries appropriately and provide general information.
Serve as a welcoming point of contact for visitors to the Center.

5. Donation and Revenue Processing

Receive and process donations.
Maintain accurate records and prepare weekly deposits.
Support outreach and communication with donors through phone and email, and in person when donors visit the Center.

6. Facilities & Operational Support

Support administrative coordination for maintenance and capital projects.
Assist with scheduling and vendor coordination.
Provide logistical support across operational needs.

7. Organizational Participation

Attend staff meetings, including planning and communications meetings.
Provide support during events, retreats, and Center programs as needed.

Required Experience & Skills

Experience in administrative support, office management, or executive assistance.
Strong organizational skills and ability to manage multiple priorities.
Excellent written and verbal communication skills.
Proficiency with office and project management tools (Google Suite, Basecamp, Salesforce, etc.).
High attention to detail and accuracy.
Ability to handle confidential information with discretion.
Warm, welcoming presence with visitors from diverse backgrounds.

Compensation & Benefits

Hourly rate: $28/hour
Status: Full-time
Comprehensive health benefits (medical, dental, vision), paid time off, and holidays after a 90-day onboarding period,
Option to reside full-time on site at the Krishnamurti Center as part of the role, subject to mutual agreement. On-site residency includes participation in the life of the Center.
