Job Title: Program Coordinator

Organization: Alpha Community Foundation of Oklahoma

Location: Oklahoma City, Oklahoma

Job Type: Full-Time, Exempt

Reports to: Executive Director

Program Coordinator

Do you want your day-to-day work to directly improve the lives of families in your own community? As ACF’s Program Coordinator, you will be the engine behind the programs that make Garden Oaks a true community center — welcoming neighbors through the door, keeping youth, workforce, health, and senior programs running smoothly, and helping us prove the impact of our work. If you are organized, people-centered, and energized by community-based work, this role offers real ownership and room to grow.

Reports to: Executive Director

Compensation: $55,000 annually

Location: On-site at Garden Oaks Community Center, with occasional off-site partner meetings

Schedule: Full time: primarily weekday business hours, with occasional evenings and weekends for programs and community events.

About This Role

The Program Coordinator manages the day-to-day operations of a diverse portfolio of community programs, including youth education, workforce development, health and wellness programming, senior services, and community events. This role is responsible for scheduling, logistics, partner coordination, participant enrollment, data collection, and program reporting.

You will be a consistent on-site presence at Garden Oaks and a familiar, welcoming face to participants, partners, and community members. The ideal candidate brings strong organizational skills, attention to detail, the ability to manage concurrent programs with overlapping deadlines, and a genuine commitment to community-based work.

Primary Responsibilities

Program Operations (50%)

Coordinate scheduling, logistics, and materials for all programs at Garden Oaks, spanning youth education, workforce training, health programming, and community events
Serve as the primary on-site point of contact for partner organizations delivering programming at Garden Oaks
Manage the facility-use calendar, ensuring partner schedules do not conflict and rooms are set up correctly
Coordinate volunteer assignments, schedules, and basic orientation for program volunteers
Maintain program supply inventory and submit purchase requests to the Executive Director

Participant Engagement and Intake (20%)

Manage participant registration, intake forms, and enrollment across all programs
Maintain accurate participant records in the case management/database system
Serve as the welcoming point of contact for community members visiting Garden Oaks for programs
Conduct outreach to recruit participants, including distributing flyers, attending school events, and connecting with neighborhood organizations

Data Collection and Reporting (20%)

Track attendance, participation, and basic outcome data for all programs using standardized tracking forms
Compile quarterly data reports for the Executive Director and Development Coordinator to use in funder reports
Maintain organized electronic and physical files for each program and funding source
Assist with participant satisfaction surveys and compile results

Other (10%)

Support planning and execution of community events, including seasonal drives, giveaways, and neighborhood celebrations
Attend staff meetings, partner meetings, and occasional board meetings as requested
Assist with other duties as assigned by the Executive Director

Required Qualifications

Education: Bachelor’s degree in social work, education, human services, nonprofit management, public administration, or a related field. An associate degree plus four or more years of directly relevant experience will be considered in lieu of a bachelor’s degree.
Experience: Minimum two years in program coordination, community services, youth development, case management, or nonprofit operations. Experience working in or with community-based organizations serving low-income populations is required.
Technology: Proficiency in Microsoft Office and/or Google Workspace. Comfort learning new database or case management systems.
Communication: Strong verbal and written communication skills, with the ability to connect effectively with youth, seniors, families, partner organizations, and funders.
Organization: Demonstrated ability to manage multiple projects, meet deadlines, and maintain accurate records.
Transportation: Valid Oklahoma driver’s license and reliable transportation for occasional off-site meetings and outreach.
Background: Must pass a background check, including child abuse and sexual misconduct clearances.

Preferred Qualifications

Three or more years of nonprofit program experience, including direct service delivery
Experience with participant tracking systems, CRM platforms, or case management software
Experience coordinating volunteers
Familiarity with Northeast Oklahoma City communities and the neighborhoods surrounding Garden Oaks
First aid/CPR certification, or willingness to obtain within 90 days of hire
