Full Job Description

Position Summary:
We are seeking a highly organized and professional Event Coordinator to manage the planning and execution of events from initial inquiry through successful completion. This role combines a competitive base salary with commission opportunities, rewarding performance and successful client conversions. The ideal candidate will have exceptional client service skills, attention to detail, and the ability to manage multiple projects while maintaining the highest standards of professionalism.

Key Responsibilities:

Client Relations & Lead Management: Serve as the primary point of contact for prospective and current clients, responding promptly and professionally to inquiries and guiding them through the booking process. Convert leads into confirmed events through effective communication and relationship management.
CRM & Documentation Management: Maintain accurate and up-to-date records in the CRM system, including leads, client communications, event notes, and follow-up actions. Ensure all documentation reflects current event details.
Follow-Up & Outreach: Conduct timely and strategic follow-ups with prospective clients to secure bookings and provide ongoing support throughout the planning process.
Event Execution & On-Site Coordination: Oversee event logistics, vendor coordination, and client satisfaction on-site. Ensure events are executed flawlessly and address any issues or changes in real-time.
Banquet Event Orders (BEOs): Prepare, distribute, and maintain BEOs for sales department to ensure accurate communication and seamless execution of event specifications.
Cross-Department Collaboration: Partner with operations, catering, and other internal teams to align on event requirements and ensure a cohesive, high-quality client experience.

Qualifications:

Degree in Hospitality, Event Management, or related field preferred.
Demonstrated experience in event planning, hospitality, or client service.
Proficiency in Microsoft Word, Excel, and internet browsers such as Google Chrome.
Strong organizational, multitasking, and time-management skills.
Exceptional verbal and written communication abilities.
Proficiency with CRM platforms and event management software.
Flexibility to work evenings, weekends, and event days as required.

Compensation:

Competitive base salary plus commission on confirmed bookings.
Performance-based incentives for achieving and exceeding sales and event goals.
House account of $200
