Staff Position & Description

Position: Accounts Payable Clerk

Employee Classification: Non-Exempt

Department: Accounting

Reports To: Accounting Supervisor & CFO

Job Statement: The Accounts Payable Clerk provides administrative and clerical support for John 3:16 Mission’s financial needs. This position is responsible for managing the accounts payable process, ensuring timely and accurate processing of invoices, and maintaining the vendor data. The position is detail oriented and requires ability to work in fast pace setting.

Duties:

· Receives vendor invoices, SharePoint check requests, and petty cash reimbursements from departments, and mail

· Prepares and maintains Accounts Payable subsidiary accounts by verifying, allocating, and posting transactions

· Verifies billing accuracy of vendor invoices received and resolves any discrepancies

· Reviews and reconciles statements for unpaid invoices

· Initiates email regarding any payables that do not have coding or approval, such as invoices sent directly to A/P or those that were an oversight

· Verifies accuracy of accounting codes and proper supervisor approval

· Verifies the Mission has a completed and updated W-9 from vendor before releasing payment

· Vouchers invoices received into account payable daily, allocating and posting transactions

· Verifies and processes departments SharePoint check requests each week and petty cash at month-end

· Prints, prepares, and matches checks with backup documents completing on Thursday and ready for mailing on Friday

· Prepares and pays electronic payments, along with manual checks on Thursday

· Verifies Accounts Payable Aging Schedule agrees with General Ledger A/P balance weekly

· Updates allocation worksheets as needed

· Maintains vendor records and Form 1099 requirements

· Maintains filing of all accounts payable documents and check copies for the Numerical File

· Delivers the deposit to the bank

· Administers petty cash reimbursements

· Maintains donated vehicle files

· Maintains fleet vehicle files

· Attend Mission meetings and functions

· Perform any other duties as assigned

Qualifications:

Requires the ability to pay attention to detail for accurate bookkeeping
Must have experience in Accounts Payable
Must have a basic understanding of accounting as it relates to the General Ledger; bank reconciliations, petty cash, accounts payable, accruals, and the processing of monthly financial statements
Must be able to meet accounting deadlines that have been established for the department
Functional knowledge of Microsoft Excel
Strong communication and organizational skills to work with all departments within the company and vendors
Requires the ability to multi-task in a fast-paced setting

Pay: From $18.00 per hour
