KEY RESPONSIBILITIES
Accounts Payable Processing
- Process high-volume vendor invoices through the Open Invoice platform and Quorum On Demand Accounting ERP
- Apply accurate GL coding, cost center, AFE (Authorization for Expenditure), well, and entity coding to all invoices, ensuring proper allocation between operated and non-operated activity
- Perform three-way matching between purchase orders, field tickets / receiving documents, and vendor invoices to verify accuracy
- Manage the invoice approval workflow, routing items for appropriate authorization based on entity, dollar threshold, and AFE budget
- Generate weekly accounts payable reports for management review and prepare ad-hoc AP reporting as requested
- Prepare and post month-end AP accruals and reconcile sub-ledger to general ledger in coordination with the GL team
- Maintain organized, audit-ready documentation for all invoices, approvals, and supporting records
Vendor Relations & Master File Management
- Serve as the primary point of contact for all vendor inquiries, payment status questions, and dispute resolution
- Maintain the vendor master file across all entities — onboard new vendors, update existing records, deactivate inactive vendors, and enforce data integrity standards
- Collect, validate, and maintain current W-9s, certificates of insurance, and other required vendor documentation
- Manage annual 1099 reporting and year-end vendor tax compliance
- Partner with the broader corporate team, field offices, and operations personnel to resolve invoice discrepancies and coding questions in a timely manner
- Identify and escalate unusual vendor activity, duplicate payments, or potential control concerns
Special Projects & Cross-Functional Support
- Support acquisition integration projects — onboarding vendor masters, AP processes, and historical payable balances for newly acquired assets
- Contribute to process improvement initiatives, including AP automation, vendor consolidation, and ERP optimization
- Assist the broader accounting team with month-end close support, audit requests, and ad-hoc reporting as needed
- Support annual insurance audits, providing AP documentation and vendor records as requested
- Take on rotational exposure to JIB, treasury, or revenue functions to broaden accounting expertise over time
REQUIRED QUALIFICATIONS
- Associate's or Bachelor's degree in Accounting, Finance, or a related field — or equivalent professional experience
- 3+ years of full-cycle accounts payable experience, ideally in a multi-entity environment
- Strong working knowledge of three-way matching, GL coding, and standard AP workflows
- Proficiency with Microsoft Excel (pivot tables, lookups, basic formulas) and standard office productivity tools
- Demonstrated accuracy, attention to detail, and strong organizational skills with the ability to manage high invoice volume
- Professional verbal and written communication skills for working with vendors, field personnel, and management
- Ability to manage multiple priorities, meet deadlines, and work independently with limited supervision
- Comfort working in a fast-paced, growth-oriented environment where processes are still being built and refined
PREFERRED QUALIFICATIONS
- Prior experience in upstream oil and gas, midstream, or oilfield services accounting
- Working knowledge of AFE accounting, joint operating agreements, and well-level cost coding
- Hands-on experience with Quorum On Demand Accounting — the ERP platform used by EQV Operating
- Hands-on experience with Open Invoice (Enverus / OpenInvoice) or comparable AP automation platforms
- Familiarity with other industry ERP systems such as PakEnergy (P2 BOLO/Enertia), OGsys, or SAP
- Exposure to 1099 reporting (especially Form 1099-NEC and 1099-MISC) at scale
- Experience supporting an external audit or assisting with acquisition integration
