The Aesthetics Assistant is the operational backbone of the clinical team. You ensure that every provider can focus entirely on delivering an exceptional client experience by handling the preparation, coordination, and behind-the-scenes work that keeps the practice running smoothly. You are responsible for welcoming clients into the practice, preparing them for their treatments, assisting providers during procedures, and ensuring every touchpoint reflects the warmth and professionalism Clarebella is known for.
When this role is done well, clients feel cared for from the moment they arrive, providers never have to worry about room readiness or supply availability, and the entire team operates with confidence and efficiency.
Qualifications
Requirement
Experience in a medical spa, dermatology office, plastic surgery practice, or similar clinical aesthetic environment preferred
Clinical Knowledge
Familiarity with common aesthetic treatments (injectables, lasers, facials, microneedling) and general understanding of pre/post care protocols preferred
Technical Skills
Experience with EMR/POS systems; comfortable with technology and learning new software
Communication
Warm, professional communication style; able to make clients feel welcome and comfortable while handling sensitive information with discretion
Detail Orientation
Strong attention to detail with the ability to multi-task in a fast-paced clinical environment
Math & Money Handling
Basic math and money handling skills for processing client transactions

Prepare and turn over treatment rooms efficiently between clients — ensuring every room is clean, stocked, and ready before the next appointment begins so providers can stay on schedule and clients never experience delays

Deliver a warm, attentive client experience from arrival to departure — greeting clients, escorting them to treatment rooms, offering refreshments, and ensuring they feel comfortable and cared for at every touchpoint

Assist providers during treatments — including patient positioning, supply handoff, holding pressure during injections, managing supplies on the mayo stand, recording laser settings, and post-treatment client care

Manage clinical inventory — track supply levels, ensure products and consumables are accurately logged in the system, restock treatment rooms and med-prep areas proactively, and flag low inventory before it becomes a disruption

Support client documentation — take pre/post treatment photos at all required angles, ensure consents are signed, review charts and prior appointment notes before the client’s visit, and fill out treatment recommendation plans as directed by the provider

Maintain the practice environment to Clarebella’s standard — treatment rooms, common areas, skincare displays, med-prep room, and supply storage are clean, organized, and professionally presented at all times
Daily Duties
Opening Procedures
- Turn on lobby lights, treatment room lights, TV, and music
- Turn off alarm system
- Unlock skincare cabinets and med-prep room
- Open blinds and put away trash can from night before
- Check medication fridge temperatures and log readings; adjust to maintain 36–46°F
- Count vials of tox for the day and log count
- Stock treatment rooms (gloves, 4x4 gauze, alcohol prep)
- Stock med-prep room (insulin syringes, reconstituting syringes, needles)
- Prepare treatment rooms for the day’s scheduled procedures
- Charge iPad
Consultation & Treatment Support
- Review client chart, last appointment notes, skincare regimen, and prior tox/filler records before each appointment
- Greet client warmly, discuss their interests and goals for the appointment, and set expectations for their visit
- For new clients, review new client benefits and ensure all intake paperwork is complete
- Take before photos at all required angles (front, smile, raise, frown, 45° rest/smile, profiles, close-ups of areas of interest)
- Apply topical numbing as directed for filler treatments
- Ensure all consents are signed prior to treatment
- Report to provider with client’s interests, concerns, and treatment goals
- Fill out individualized treatment recommendation forms as directed by provider
- Go over pricing with client and build client invoice
- Assist provider during procedures: hold pressure during injections, maintain clean and organized mayo stand, keep supplies accessible, ensure provider has all necessary product and materials
- For laser treatments: prep client, record laser settings, clean up client after treatment, clean and properly shut down devices
- Review post-care instructions with client
- Take after photos
- Review upcoming appointments with client
- Post-treatment room cleaning: mayo stand, counters, doorknobs, light switches, cabinet handles, treatment chair, remote, and any surfaces touched during treatment
Closing Procedures
- Lock and turn off skincare cabinet lights
- Pull blinds
- Set out med-prep room trash can
- Check medication fridge temperatures, log readings and any adjustments
- Restock ice packs in treatment rooms as needed
- Turn off TV, music, and lights
- Lock med-prep room
- Charge iPad
Additional Duties
- Help answer phones and respond to client inquiries when available
- Assist with appointment scheduling and check-in/check-out processes
- Stock received incoming orders based on expiration dates
- Help other team members as needed to maintain flow of the workday
- Support social media content, marketing events, or community outreach as needed
- Participate in weekly team meetings and ongoing training
- Assist in all areas of practice operations as requested by the Practice Manager
